Census Tab Overview

These reports are designed to give a complete view of active and historical patient insurance types across all disciplines.

Accessing the Census Tab

  1. Go to the Reporting section.

  2. Select the Census tab.

  3. Use the filters at the top of the page to define your date range, facilities, and payers.

    • Filters apply across all Census reports within this tab.

    • This allows consistent comparison across different report types.


Available Reports

1. Therapy Census

  • Displays patient counts by payer type and discipline (PT, OT, SLP).

  • Helpful for tracking caseload distribution and identifying payer trends.

  • Use this report for quick, high-level census summaries.

2. Therapy Census Details

  • Shows each patient’s payer type, admit date, start of care, and end of care per discipline.

  • Designed for detailed tracking of active and discharged patients within the selected date range.

  • Useful for verifying discipline-level timelines and identifying care overlaps.

3. Therapy Program Details

  • Includes medical treatment codes (CBTs), duration, frequency, and ICD codes with onset dates.

  • Ideal for pulling full patient-level data for audits or analysis.

  • This report is also the best source for reviewing all ICD codes and corresponding onset dates.


Using Filters

  • Filters apply across all three reports in the Census tab.

  • Adjust date ranges, payer types, or facilities once — and the changes automatically reflect in every report.

  • This unified filter experience makes cross-report analysis more efficient and consistent.


Understanding Green Highlighting

  • Green highlighting identifies programs a patient was actively on during the selected date range.

  • If a patient discharged from a program before your filtered period, their prior episode dates will still display for context.

  • This helps you view both current participation and historical data at a glance.


Printing and Exporting Reports

You can print or export Census reports as PDFs or Excel files for sharing or recordkeeping.

To print or download as PDF:

  1. Click Print/Download on the top right.

  2. Choose the specific reports you want to include.

  3. Deselect Truncate Tables if you want to prevent content from cutting off in the export.

  4. Follow the prompts to complete your download.

Tip: The PDF export process involves a few steps, but it allows greater control over what’s included. Future updates will include more customizable print layouts.


Best Practices

  • Use the Counts report for summaries, Dates report for episode tracking, and Details report for deep-dive clinical or billing reviews.

  • Always review green highlights to focus on active patients.

  • Export reports regularly to maintain documentation for audits and performance reviews.
