Supervisory Visit Tracking (10th Visit Monitoring)

This article explains how DORs can monitor assistant supervision requirements using the Supervisory Visit Tracking table in the Compliance & Alerts tab. Identify when supervision is due, overdue, or approaching; based on visit counts.

When You’ll Use This Article

Use this article when you need to:

  • Monitor remaining assistant visits before supervision is required

  • Identify patients who are due or overdue for a supervised visit

  • Understand how and when supervision requirements reset

  • Review projected supervision needs by discipline


Role Applicability

  • DORs: Full access and responsible for supervision tracking

  • Therapists & Assistants: No direct access

  • Regionals: Configure supervision rules at the enterprise level


Overview

Supervisory Visit Tracking supports compliance with state and discipline-specific supervision requirements for therapy assistants. In many states, an evaluating therapist must supervise every 10th assistant visit.

RESTORE-Insights tracks this requirement and surfaces supervision status in a centralized location so DORs can monitor compliance without reviewing individual schedules or documents.

Important: Supervision tracking is reviewed only from the Compliance & Alerts tab. It does not appear in the Planner or Scheduler views.


Accessing Supervisory Visit Tracking

  1. From the main side navigation, select Compliance & Alerts.

  2. Locate the Supervisory Visit Tracking section.

  3. Use the discipline toggle to switch between:

    • PT

    • OT

    • SLP

The table updates to reflect supervision requirements specific to the selected discipline.


Understanding the Supervisory Visit Table

The table displays supervision information by patient, including:

  • Remaining Assistant Visits
    The number of assistant visits left before supervision is required.

  • Projected Supervision Date (when available)
    An estimated date when supervision will be needed, based on the patient’s current treatment schedule.

This allows DORs to quickly identify patients who may require supervision soon or are already overdue.


How the 10th Visit Supervision Logic Works

Supervision tracking is based on visit count, not calendar days.

Here’s how the logic works:

  • Assistant visits are counted toward the supervision requirement.

  • When the supervision threshold is reached (commonly the 10th visit), supervision is due.

  • If supervision is not completed on time, the visit will be flagged as due or overdue in Compliance & Alerts.

Supervisory visit requirements are set at the regional access level based on state regulations.

Reset Logic

The supervision count resets when an evaluating therapist treats the patient.

This means:

  • Once an evaluating therapist completes a treatment visit, the assistant visit count starts over.

  • The system then begins tracking toward the next supervision requirement.

This reset ensures supervision cycles align with clinical oversight requirements.


How This Supports DOR Planning

Although supervision is not managed directly from the Planner, the Supervisory Visit Tracking table provides advance visibility into upcoming supervision needs.

DORs can use this view to:

  • Review which patients are approaching supervision thresholds

  • Identify overdue supervision requirements

  • Plan therapist coverage to meet supervision needs

All supervision awareness and monitoring occurs within Compliance & Alerts.

  • Supervision rules are driven by enterprise-level configuration, which may vary by state and discipline.

  • The Supervisory Visit Tracking table is read-only and intended for monitoring purposes.

  • Counts and projections are based on completed and scheduled visits at the time of review.
