What Should I Email My Contacts — Klaviyo

The two ways to email your Klaviyo contacts — and how to pick the right one.

There are two ways to email your Klaviyo contacts. Pick the one that fits how you already send — or take the 2-minute quiz to get a recommendation →


Option A — Dedicated Flow

Every contact gets the same short automated sequence when they're first identified. Best if you send fewer than 3 campaigns a week or want a consistent introduction for every contact.

  • Trigger the flow when a contact is added to your Retention List in Klaviyo

  • First email sends within 30 minutes of identification

  • 3-email sequence: brand intro → best sellers → offer

  • After the sequence, move engaged contacts into your regular campaigns


Option B — Blended

Contacts are folded into your existing campaign sends. Best if you already send 3 or more campaigns a week.

  • Include Warm [Retention] in your campaigns

  • Exclude Cold [Retention] from your campaigns

  • Your normal sending cadence does the work


Your contacts in Klaviyo

When contacts are identified they're automatically added to a Retention List in your Klaviyo account. Two segments are created from that list to control who you send to:

  • Warm [Retention] → contacts ready to receive emails

  • Cold [Retention] → contacts who should not be emailed

Always include Warm and exclude Cold in every send. If segments go inactive, favorite them in Klaviyo to keep them visible.


Either way — a few rules that always apply

  • Send quickly — the sooner after identification, the better

  • Don't use "thanks for signing up" or "welcome" language — they didn't fill out a form

  • Stop sending after 3 emails with no engagement

  • Never send to Cold [Retention]
