⚙️ Master Your Automations: Global & Provider Settings

Whether you want to pause all messaging for a holiday, bad weather or just customize which doctor sends out review requests, ALOHA® gives you total control. This guide walks you through the two levels of settings: the "Master Switches" for your whole office and the individual toggles for each provider.

Prerequisites/You'll Need

  • Administrator-level access in ALOHA.


✅ Step 1: Manage Global "Master Switches"

Before a provider can send a message, the feature must be turned on for the entire office. ALOHA makes it easy to manage these from one central hub.

  1. Navigate to Automation: From the Gear Icon (⚙️) menu, click Automation.

  2. Toggle Features: You can turn the following on or off for the whole practice:

    • Appointment Reminders

    • Campaigns

    • Feedback Requests

    • Reactivation Reminders

  3. Pause & Resume: If you turn a feature off but want it to turn back on automatically (like after a vacation or bad weather day), Click the Enable On Calendar Icon and Schedule your desired resume date/time.

✅ Step 2: Customize Individual Provider Settings

Once your global settings are active, you can decide exactly which providers use those features.

  1. Navigate to Users: From the Gear Icon (⚙️) menu, click Users.

  2. Find the Provider: Locate the specific team member in the list.

  3. Set Individual Settings: Use the toggles next to their name to turn Reminders, Campaigns, or Feedback on (checkmark) or off (X) for just that person.

    *The login column determines whether that user can access ALOHA with their own credentials.

  4. To enable Online Scheduling: Go to Scheduling > Settings > Set User/Provider Schedules.

    • Toggle on the Schedule column for patient-facing visibility (Web/App) and Provider Scheduling column for internal team visibility (Provider App/ALOHA Calendar).

    • Click the Three-Line Menu (≡) to choose which specific appointment types that provider offers.

What to Do

I turned on reminders for a provider, but their patients aren't getting them.

The Global Master Switch (Step 1) is likely turned OFF.

Go to Settings > Automation and ensure the feature is enabled for the office.

A former provider still appears on the booking page.

Deactivating a user login doesn't remove them from the schedule.

Go to Set User/Provider Schedules and toggle their Schedule and Provider Scheduling switches to OFF (X).

I want to stop one specific campaign.

You may only need to pause a specific campaign, not the whole feature.

Go to Campaigns > Show Campaigns and toggle off only the specific one you want to stop.

  • Your Global Automation page shows that the correct features are active.

  • Your online scheduling only displays the providers and services you’ve selected.

  • You've successfully enabled the specific tools each provider needs to manage their patients.
