Managing Patient Profiles in Clerk

Keeping patient information organized is key to smooth front-desk operations, and Clerk makes it easy, even on busy days ✨


➕ Adding a New Patient

Sometimes patients walk in on the fly. No problem. You can add them in three places:

  • Practice Manager (top right corner)

  • Schedule (top right corner)

  • Patients Tab (near the search bar)

All you need to get started is the patient’s first and last name. From there, you can add demographics, contact info, and insurance details.

✨ Quick tip: For the Date of Birth, double-click the year to type it in instead of scrolling

Sex vs. Gender fields

  • Sex → used for insurance claims

  • Gender → shown in the Contact Card

To update a patient’s info later, like a new phone number, address, or marking them as inactive, head to the Patient Profile and click the pencil icons to edit each section 💃🏻


🗂 Patient Profile Overview

Each Patient Profile has a Contact Card at the top and 10 tabs below to organize everything.

The Contact Card shows information that follows the patient from Check-In to Check-Out

  • Name, age, gender, and case type

  • Careplan name and remaining services

  • Disclaimer Notes (important info to know each visit)

  • Next and last appointment dates

  • Current balance and available credit

Tabs

  1. Details – Demographics, related people, insurance, attorney info, medical history

  2. Appointments – Full appointment history and shortcuts to Outcome pages

  3. Files – Upload PDFs, images, or videos; archive or delete files as needed

  4. Chart Notes – View SOAP notes by appointment date; download by range or type

  5. Financials – Transaction history, invoices, claims, subscriptions, and Superbills

  6. Careplans – Active and past careplans; edit manually if necessary

  7. Alerts – Patient-specific notifications visible on Practice Manager

  8. Contact History – Log of outgoing messages

  9. Pay Integration – Track credit card info and recurring payments if integrated

  10. General Notes – Keep track of miscellaneous patient info; edit, archive, or delete as needed


📁 Managing Files

Uploading and organizing files is simple

  • Go to the Files tab in the Patient Profile

  • Drag and drop or select files from your computer

  • Use the three dots next to a file to archive or delete it

  • Toggle Show Archived to access previously archived files

💡 File types must be 10 MB or smaller and can include jpg, png, mp4, mov, wmv, gif, pdf, Word, or Excel documents


With everything organized in the Patient Profile, you will have all the info you need at your fingertips, making each visit smoother, faster, and a little more fun 🎉
