📂 How to Archive a Conversation & Find Archived Conversations

🧭 When You’ll Use This

Your Conversations page is where all your daily communication lives—and it can get busy fast. Archiving helps you clear out completed threads so your team can focus on what still needs a reply. Don’t worry: archiving does not delete anything. You can always go back and view or unarchive a conversation.

Use this guide when:

  • Your inbox is cluttered with old conversations

  • You want to track only active chats

  • You need to locate archived messages

✅ How to Archive Conversations in Aloha

There are two easy ways to archive a conversation.

🔹 Option 1: Archive a Single Conversation

  1. Go to the CONTACTS tab > CONVERSATIONS page

  2. Click on the conversation you'd like to archive

  3. Click the Inbox icon above the texting thread (next to the patient’s name/number)

  4. The conversation is now archived—it’s out of your inbox but not deleted


🔹 Option 2: Archive Multiple Conversations at Once

  1. Go to the CONTACTS tab > CONVERSATIONS page

  2. Click the Box icon at the top of the conversation list

  3. Check the boxes next to any conversations you want to archive

  4. Click the green Archive button at the bottom of the page

✅ Tip: Use this method when clearing your inbox at the end of the day or week.


How to Find Archived Conversations

Need to revisit a past conversation? You’ve got options:

Option 1: Search by Name or Number

  1. Go to CONTACTS > CONVERSATIONS

  2. Use the Search Bar (top left) to enter the patient’s name or phone number

  3. Click on their name to re-open the conversation
    ✅ This also moves them back into your active conversation list


Option 2: Search by Date

  1. Go to CONTACTS > CONVERSATIONS

  2. Click the Calendar icon (top right)

  3. Select the date the patient last messaged you
    ✅ This brings up all conversations from that time period, including archived ones


Option 3: Go Through Show Contacts

  1. Go to CONTACTS > SHOW CONTACTS

  2. Search for the patient

  3. Click the Message icon next to their name
    ✅ This opens the full message history, even if the thread was archived
