🏷️ Creating and Managing Patient Tags

Organizing your patient list is the first step toward better communication. This guide covers how to create tags in ALOHA® and how to label your patients—whether you're doing it one by one or uploading a large list from your EHR.

Prerequisites/You'll Need:

  • Access to your ALOHA account.

  • A CSV file of contacts (if importing a large list).


1. Create a New Tag 🔖

  1. Go to Campaigns > Show Tags.

  2. Click +Add in the top right corner.

  3. Enter your tag name (e.g., “VisionCare” or “WellnessWorkshop”).

  4. Click Add Tag.

  5. To see who is already in a group, click # Contacts next to any tag.

2. Manually Tag a Single Patient 🙋

  1. Go to Contacts > Show Contacts.

  2. Search and click on the patient’s name.

  3. Click the Tags tab at the top of their profile.

  4. Select the tag you want and click Apply.

3. Tag Many Patients at Once (CSV Upload) 📥

  1. Export your list as a CSV file from your EHR or database.

  2. In ALOHA, go to Contacts > Import CSV.

  3. Under Import Data, select Contact Data Only.

  4. Under Apply Action, choose Apply a Tag and pick your desired tag.

  5. Click Pick CSV File to upload.

  6. Map your columns: Use the dropdowns to match your file's columns (like "First Name") to the ALOHA fields.

What to Do

The "Import" button is greyed out.

You may not have selected an "Apply Action" yet.

Ensure "Apply a Tag" is selected before uploading.

I don't see my new tag in the list.

It might not have saved correctly.

Refresh the page or check the Show Tags list.

The phone numbers look weird after upload.

The CSV formatting might be off.

Ensure your CSV uses a standard 10-digit format.


🎉 You'll Know It's Working When:

  • The tag appears on the patient's profile under the Tags tab.

  • Your total contact count increases in the View Contacts section of your tags.
