๐Ÿ“ฃ Add a Contact to a Manual or Event Campaign

Send messages to specific patients without rebuilding a campaign from scratch!

โœจ When You Need This Guide

Use this guide when you want to quickly send campaign messages to one or more specific patients without creating a new campaign.

Great for when:

  • You want to manually add one patient to a campaign

  • You need to import a list of patients to trigger a bulk campaign

  • You're asking things like:

    • โ€œCan I send an event or birthday campaign to a single patient?โ€

    • โ€œHow do I upload a group of patients into a campaign?โ€

    • โ€œCan I use a CSV to start a campaign for a select list of people?โ€


๐Ÿ“‹ Campaign must already be built


๐Ÿ‘ค Add a Single Patient to a Campaign

To manually add one contact:

  1. Go to: Contacts > Show Contacts

  2. Click on the patient's row to open their profile

  3. Click the "Campaign" section

  4. Use the dropdown to select your campaign

  5. Click Start

That patient will now receive messages based on the campaignโ€™s setup!


๐Ÿง‘โ€๐Ÿคโ€๐Ÿง‘ Add Multiple Patients Using a CSV Upload

To add a group of contacts:

  1. Run a report in your EHR or patient management software

  2. Export the report as a CSV file

Your CSV should include the following columns:

  • First Name

  • Last Name

  • Phone Number

  • Email (optional but recommended)

Hereโ€™s a sample structure:

First Name

Last Name

Phone Number

Email

Jane

Doe

5551234567


๐Ÿ“ค Import Your CSV and Start the Campaign

Once your CSV is ready:

  1. Go to: Contacts > Import CSV

  2. Set "Import Data" to: Contact Data Only

  3. Set "Apply Action" to: Start a Campaign

  4. Choose the campaign you want to launch

  5. Click Pick CSV File and upload your list

๐Ÿ“Œ Tip: If Aloha canโ€™t recognize which column is which, just use the dropdown menus to assign fields like "First Name" or "Phone Number."

โœ… Once the file is accepted, youโ€™ll see a confirmation message, and your patients will be added to the selected campaign!


๐ŸŽ‰ You'll Know It Worked When:

  • You receive a confirmation message after import

  • The campaign status shows as started for added contacts

  • Messages begin sending out based on your campaign's schedule
