🔕 How to Limit Appointment Reminders for Multiple Same-Day Appointments

Prevent patients and families from getting too many reminders for same-day visits, even with multiple appointments scheduled

✨ When You Need This Guide

Use this if:

  • A patient is getting too many reminders for same-day appointments

  • A family has multiple members coming in on the same day

  • A patient is booked for different services like an adjustment and a massage

  • You want to make sure only one reminder goes out for multiple appointments on the same day

This feature is especially helpful when patients are scheduled for more than one visit type (like an exam and glasses fitting) or when a family is booked together.


🔧 What You’ll Need

Before getting started, make sure:

  • You can access the Automation settings under the gear icon

  • You know whether reminders should be limited for individual patients or family groups

  • Turn on the appointment reminder limit for patients with multiple appointments

  • Understand how reminders work when multiple people in a family are scheduled

  • Prevent reminder overload while keeping patients informed

✅ Set a Reminder Limit for Same-Day Appointments

To make sure your patients don’t get bombarded with texts or emails:

  1. Click the gear icon ⚙️
    It’s in the top right corner of your Aloha dashboard.

  2. Go to the “Automation” page

  3. Scroll to the "Appointment Reminders" section

  4. Turn ON the Appointment Reminder Limit

    • Toggle the switch next to Reminder Limit so that it’s enabled.

    • Once turned on, each patient will receive only ONE reminder per day, no matter how many appointments they have.

📝 Note:

  • Aloha will send the reminder for the first scheduled appointment of the day.

  • If multiple appointments are at the same time, the system will send the reminder for the first patient alphabetically.


👨‍👩‍👧‍👦 What About Families With Shared Contact Info?

If a family is using the same phone number and email across multiple patient profiles:

  • The system will treat it as one contact group

  • It will send one reminder only, based on the first appointment scheduled

  • If multiple appointments are at the same time, it will default to the first name alphabetically

This helps prevent families from receiving duplicate messages for each member.


🎉 You’ll Know It Worked When:

  • Patients with multiple same-day appointments get one single reminder

  • Families don’t receive duplicate texts or emails

  • You can see only one outgoing reminder per patient per day in the message log
