How to Set the Recipient Criteria in a Bulk Message

The "Recipient Criteria" allows you to set specific parameters when filtering through which patients you'd like to send a mass message to. This is based on the patients scheduled past/ future appointments, individual patient name, or assigned tag.

Past Appointment: Reflects any patients appointments that have been in the past based on the date range selected.

Last Appointment: Any patients, who's last/prior visit in office, was within the date range selected.

Next Appointment: Any patients, who's next visit in office, is within the date range selected.

Future Appointment: Reflects any patients appointments that are scheduled in the future based on the date range selected.

Search by Name: Search by specific contact name, this is useful if you have a select few individuals you'd like to send the message to.

After selecting your criteria, you will need to select a date range to pull your contacts from. A calendar tool bar will appear to the right of your selection, allowing you to select a specific date or date range.

How to Use the Bulk Message Calendar

  1. On the calendar to the left hand side, click the drop down to select your starting month and year. Once the month appears, click the date you'd like to start with. If only selecting one date, you will need to double click on the selected date.

    (ex. Jan 1, 2022)

  2. On the calendar to the right hand side, click the drop down to select your ending month and year. Once the month appears, click the date you'd like to end with.

    (ex. Mar 1, 2022)

  3. The calendar will jump between the date ranges to ensure the full time frame is selected. You will see all dates in between the 2 ranges hi-lighted.

  4. Below both calendars, you can set a start time and end time. This will be used to indicate the time of scheduled appointments for the patients being selected. An example would be, if you are choosing only one date such as Mar 4, 2022 and select the time frame of 1pm-2pm, this will only select patients who's appointments are scheduled between that hour.

  5. Once completed, you will be able to verify the date range selected at the bottom of the box next to the "Cancel" and "Apply" buttons.

  6. Click "Apply" to save the date range set.

Additional Criteria

The "Additional Criteria" is optional and can be used to further filter through your selected patients. You have the option to filter by appointment type and appointment provider if there are multiple in office. This works great for if one of the providers are out sick and needs to get in touch with their scheduled appointments to rescheduled. If you'd like to leave as is and send only based on the date range you can leave this option as "-select-".
