Easily Manage Access to Your Shared Reports

This user-friendly guide will help you adjust access settings for shared reports. It's essential to control who can view and edit your reports, and these steps make the process straightforward.

Step 1: Navigate to the Reports Module

  • Start by clicking on the Reports module in the navigation bar. This will bring up the most recent report you viewed, ensuring you're in the right place to manage access.

Step 2: Access the Reports Listing

  • Next, click the 'View Reports' button. This will display a list of all reports, categorized as Organization, Public, Private, and shared. This categorization makes it easy to find the report you're interested in.

Step 3: Modify Access Permissions

  • Look for the three vertical dots located on the right side of the report you want to share.

  • Click on these dots and select 'Share.' On the right side of the screen, you'll see the owner's name and their current access rights.

  • As the report owner, you can grant different levels of access:

    • View Only: Secondary users can view the report but can't make changes.

    • Edit: Grant edit access to allow secondary users to make changes. You'll need the user's email address associated with the tenant.

    • Comment: This option lets secondary users comment on the widgets.

Removing Access:

  • In the context of shared reports, the report's owner can do so if there's a need to revoke a user's access.

  • To achieve this, select the 'Share' option within the three vertical dots menu.

  • The 'Share access' card indicates the access level granted to each user so you can quickly identify the user in question.

  • To remove a user's access, choose the 'Remove access' option corresponding to that user. This action effectively rescinds the user's permissions to the shared report.

With these steps, you'll have complete control over who can see and interact with your reports, ensuring data security and privacy.
