A guide to downloading and understanding your invoice.

General Overview

We have now transitioned to a subscription-only model. This article applies to all customers that signed-up to Road Ninja prior to 23 June, 2024.

When you pay for transportation services through Road Ninja, there are two components that make up your total payment:

  • Payment to the driver

  • Payment to Road Ninja

As all payments are managed via Road Ninja, we provide downloadable invoices for accounting and compliance purposes that reflect the multi-party nature of Road Ninja payments.

The top invoice is the invoice that we provide on behalf of the driver who has provided transportation services to you. We automatically apply the appropriate GST treatment to your driver payment depending on whether the driver is GST registered or non-GST registered:

  • If the driver is GST registered, we'll apply a 15% GST component

  • If the driver is non-GST registered, we won't apply a GST component

The lower section is the invoice for your payment to Road Ninja and this charge always carries a +15% GST component.

How to Download an Invoice

Once you've paid a driver for a job in Road Ninja, you'll be able to download your invoices related to that job.

To download your invoices, head into your Road Ninja account and click on Jobs in the left navigation menu.

Then, click on Past so that you can find the relevant paid job.

Once you've clicked into the relevant job, click on Payment details in the top right corner.

You'll see a payment breakdown pop-up which summarises your payments. You'll also be able to click on Download PDF to download your invoice.

πŸ’‘: Downloaded invoices are labeled with the invoice number. You can search for jobs in Road Ninja by invoice number to easily find the job that the invoice relates to.

Viewing and Bulk Exporting Your Paid Invoices

To view and bulk export your paid invoices:

  1. Log into your Road Ninja account

  2. Go to 'Jobs' in the left sidebar navigation

  3. Specify the job region, date range, driver, vehicle, and paid status in the filters

Bulk Downloading Your Paid invoices

  1. Click 'Download paid invoices' or 'export'

  2. Your bulk invoices will be exported as a .zip file. Open the .zip file which will create a folder containing your downloaded invoices
