Managing Vendor 1099s


Access the 1099 Dashboard

In the left sidebar:

  1. Go to the Company tab

  2. Select Vendor 1099s option

Or, go there directly via - https://app.rollcredits.io/vendor-1099s


Review Vendor Eligibility

You'll see a list of all the vendors you've invoiced in the last year. You can go down the list of vendors and mark them as either eligible or not eligible for a 1099

If you need more information, you can click "See Transactions" for a full list of every transaction with that vendor from the last year, along with it's associated production and cost codes

To actually file a 1099, we need some basic company information. We'll ask for this when you mark a vendor as eligible

The easiest way to enter this information is by uploading a W9 first. Our system is able to extract everything we need from that W9!

Please make absolutely sure that the business name and SSN/EIN are accurate to prevent any problems with filing

You can also tell us what the default type of each transaction for this vendor should be. In the example above, we are renting a space so most transactions would be on a 1099-MISC Box 1 (Rents). You can always change the type and amount for a transaction, this is just the default


Review Transaction Eligibility

For each transaction you've made with a vendor, we'll give you the option to specify:

  1. Should this transaction be reported on a 1099

  2. How much of that transaction is eligible for reporting for each 1099 box

  3. Any extra information required for filing the 1099

For more unusual situation that don't fall under these most common cases, just describe the situation in the "1099 Notes". We'll work with our accountants to get them filed correctly, and reach out to you directly if we need additional information

Example - Contractor w/ Kit Fees

Matthew Reff operates a business under Camera4Hire

We have two invoices for him on this production:

  • A reimbursement invoice which should not be added to the 1099. We un-tick the "1099 Eligible" box

  • A combined invoice which has both his pay for camera work and kit fee for bringing his own camera. We split that transaction into a kit fee amount which goes in 1099-MISC Box 1, and pay which goes in 1099-NEC Box 1

Filing The 1099

Once you've finished filling in transaction details, click the "Ready For Filing" button. We'll take care of the rest, and keep you and your vendor updated with our filing progress!

❓ Vendor 1099 – FAQ


1. What’s the difference between Vendor Name and Business Name?

  • Vendor Name: What your team calls the vendor internally

  • Business Name: The legal name used for 1099 tax filing (must match the name associated with the vendor’s Tax ID)

❗ The Business Name must match the legal company name

2. What does the Vendor 1099 tab show me?

The 1099 tab in Vendors & POs gives you two main views:

  • Eligible Vendors: Vendors with qualifying payments that may require 1099 filing

  • Ready for Filing: Vendors whose information has been reviewed and marked as ready to submit for 1099s


3. What happens after I mark a vendor “Ready for Filing”?

  • The vendor is moved to the Ready for Filing tab

  • We'll handle the rest and give you a copy of the document after filing!


4. Do I need a W9 for every vendor?

Yes. You should have a W9 form on file for every vendor receiving a 1099. You can upload or request this in the main Vendors tab or in all of the vendor listing in the 1099 tab.

6. Can Roll Credits file my 1099s for me?

Yes! Once you’ve marked vendors as Ready for Filing and confirmed that their W9 and business info are complete, Roll Credits can submit 1099s on your behalf through our integrated e-filing partner.

❗ We will only file 1099 documents with your explicit permission and after you have marked the vendor and transactions as "Ready for Filing". We WILL NOT file on your behalf by default


7. How do vendors know their 1099 has been filed?

Once a vendor is included in a submitted 1099 batch:

  • They will receive a confirmation email from our e-filing provider

  • The email will include a secure link to access, download, and print their 1099 form


8. When are 1099s sent to vendors?

We file 1099s as soon as we have all of the required information. We always ensure that 1099s are delivered on or before the IRS deadline (typically January 31st each year).

  • Digital 1099s are emailed to vendors once the filing is submitted

  • You’ll receive a confirmation once the batch is complete and distributed
