Task Calendar

Using the Task Calendar

The Task Calendar gives you a visual schedule of operational work across properties. It combines tasks and reservation activity in one place so your team can plan work by day and by home.

What you can see in the Task Calendar

  • Tasks scheduled across properties

  • Cleaning, inspection, maintenance, and other task types

  • Guest stays

  • Owner blocks

The calendar is organized by:

  • Property on the left

  • Dates across the top

This makes it easy to see what work is happening, where it is happening, and when schedules overlap.

Available calendar views

You can switch between:

  • Today

  • 3-day

  • 7-day

  • 14-day

  • 30-day

You can also move backward or forward through the selected date range.

How to use filters and search

Use the calendar toolbar to:

  • Search by task number or summary

  • Filter by type

  • Filter by priority

  • Filter by property

This is useful when dispatching a specific kind of work or reviewing one property at a time.

How to create a task from the calendar

There are two ways to create a task:

  1. Select the Task button at the top of the calendar.

  2. Click an empty calendar slot for a property and date.

When you create a task from an empty slot, the property and date are prefilled for you.

How to update a task from the calendar

Select a task on the calendar to open it and make changes. From there, you can update the task details, assignees, schedule, checklist, or status.

How drag and drop works

You can drag scheduled tasks to a new date to update the schedule quickly.

For one-time tasks:

  • The new date is saved directly.

For recurring tasks:

  • You may be asked whether the change applies to this occurrence, future occurrences, or all occurrences.

This helps preserve the recurring schedule when only one date needs to move.

When to use the Task Calendar

Use the calendar when you need to:

  • Balance work across properties

  • Spot scheduling conflicts

  • Reschedule tasks quickly

  • View operational work alongside guest and owner stays

  • Plan upcoming work visually instead of from a list

Best practices

  • Use the calendar for scheduling and rescheduling.

  • Use the Tasks page for detailed filtering and task management.

  • Use recurring tasks for repeated work so the calendar stays predictable.
