Navigating the Calendar

The calendar is your source of truth, learn how to navigate it

The calendar is where your day-to-day can be seen at the facility β€” all scheduled sessions will appear here. It's also where you can create and manage bookings directly for your customers.


The calendar is a highly visual page, so instead of explaining things over text - we've created a short video below to show you how to navigate the calendar.


In our booking system, two helpful views are available to help you view and manage your bookings effectively:

Room View

The Room View allows you to see bookings organized by rooms or spaces, giving you a clear overview of the scheduled sessions in each room.

Staff View

The Staff View lets you see the bookings for each staff member or instructor. This view helps you track and manage individual staff schedules.

Equipment View

The Equipment view lets you see when and where your equipment are being used across your facility.

Booking Tiles

By default, each booking tile colour represents a specific service type or event,

  • Rentals - Navy

  • Lessons - Orange

  • Classes - Teal

  • Camps - Yellow

  • Unavailable - Black

Changing the colour of a booking tile or event

When you initially create an event through the Services page, you can set the colour of the event under the Advanced Settings section,

After an event has been created, and you want to change the colour of an individual booking tile, this can be done through the Calendar,

  1. In Admin, go to the Calendar page

  2. Click on the booking tile

  3. Select the Edit (pencil) icon

  4. You the colour selector in the top right corner, and pick a colour

  5. Click Save


Calendar Integration

At this time, there is no direct integration between our system and third-party calendars such as Google Calendar, Outlook, or Apple Calendar.

However, when a participant or instructor is added to a booking or session, they will receive an email notification containing the event details. This email includes a calendar file attachment (invite.ics ).

To add the booking or session to a personal calendar:

  1. Open the email notification.

  2. Download the attached invite.ics file.

  3. Open the file β€” it will automatically add the event to your Apple, Google, Outlook, or other compatible calendar.

Additionally, your facility can use the Zapier integration to create automated workflows (zaps) where a booking created in Swift will result in a new event being created in your third party calendar. To learn more about the Zapier integration, read this article.
