Collect customer details during quote acceptance using customizable form fields embedded directly in your quote.

Streamline customer onboarding and data collection during quote acceptance by adding custom input fields directly into your quotes.

This is especially useful for gathering:

  • IBAN or Direct Debit details

  • Onboarding preferences or form inputs

  • Customer agreements or specific instructions

All fields can optionally map to your PSA’s Custom Customer Fields (UDFs), allowing automatic data syncing for internal use.

🛠️ How to Add a Custom Form to a Template

You can create a custom form widget directly inside a quote template, allowing you to reuse it across multiple quotes. The form will be shown to your customer during quote acceptance.

📍 Steps to Create

  1. Go to Quotes > Templates

  2. Open the template where you want to add the custom form

  3. Add a Widget of your preferred place. choose Custom Form and click Insert

  4. A form widget will be added.

✏️ Configure the Custom Form

  1. Name your widget clearly: This name will be shown in the quote. Use something descriptive like:

    • Bank Details Form

    • Customer Onboarding Info

    • Payment Preferences

  2. Optionally add introductory content or instructions above the form

  3. Click Add new field

  4. For each field, enter:

    1. Field Name (e.g., “Account Number”)

    2. Tooltip - A short help message shown to the customer

    3. Field Type - Choose from Text, Dropdown, or Checkbox

    4. UDF Mapping (optional) – Link the field to a Custom Customer Field in your PS

    5. Mandatory: Enable this if the field must be completed to accept the quote

  5. Click Save.

  6. Preview the template before using it in a quote to make sure everything looks correct.

📄 Using the Form in a Quote

Once your custom form is added to a template:

  • When you create a quote using that template, the form will automatically appear in the quote

  • Customers will see the form during quote acceptance and will be prompted to fill in the required fields

🔗 About UDF Mapping

Custom fields in your form can be mapped to PSA-level Custom Customer Fields (UDFs).

  • These special fields allow the data customers provide to automatically populate your internal records (e.g., IBAN, VAT number, etc.)

  • UDF-mapped fields appear as inputs in the widget and will update the company profile upon quote acceptance

  • Only compatible field types can be mapped (e.g., text-to-text)
