Integrating with Autotask

Set up Autotask with Salesbuildr, configure country code, create API user, set permissions, enable webhooks & start syncing data.

Follow these steps to set up a secure and functional connection between Autotask and Salesbuildr.

๐Ÿ“ Prerequisites

Before you begin, make sure:

  • You have admin access in Autotask

  • You can create API users and modify security levels

  • You're logged into your Salesbuildr dashboard

โš™๏ธ Setup in Autotask

๐Ÿ’ผ These steps are performed inside your Autotask account.

๐ŸŒ Step 1 โ€“ Set Your System Accountโ€™s Country Code

To integrate Salesbuildr with Autotask, you need to ensure that your Autotask system account has the appropriate country code, the steps are;

  1. Log into Autotask

  2. Navigate to CRM

  3. Make sure the ID field is visible

  4. Enter 0 into the ID field and hit enter

  5. Your company should appear as the sole result.

  6. Click Edit if needed and ensure the country is filled in correctly

  7. Click Save

๐Ÿ‘ค Step 2 โ€“ Create the API User

  1. In Autotask, go to Admin > Resources (Users)

  2. Hover over the + New button and choose New API User

  3. Fill in the user form:

    • Name: Salesbuildr API

    • Email: a valid company email

    • Generate and save the Username and Password

โš ๏ธ You'll use these credentials in Salesbuildr later.

๐Ÿ” Step 3 โ€“ Set API Permissions

Salesbuildr needs read and write access across several Autotask modules. To configure this:

  • Assign the default or a custom security level to your API user

  • Make sure permissions cover followings modules (image included) i.e.;

1. CONTRACTS

2. CRM

3. INVENTORY

4. PROJECTS

5. SERVICE DESK

6. DOCUMENTS & KNOWLEGEBASE

7. TIMESHEETS

8. REPORTS

9. ADMIN

10. OTHER

11. WEB SERVICES

๐ŸŒ Step 4 โ€“ Enable Webhook Support for Real-time Sync

To enable instant updates for companies and contacts from Autotask to Salesbuildr, create an additional security level that has create webhooks permissions.

  1. Go to Account Settings & Users > Resources/Users (HR) > Security Levels

  2. Find the API User (system) from Step 1

  3. Click the three dots โ†’ Copy, name it e.g., API User + Webhooks

  4. Expand the Other section

  5. Enable: Can create webhooks (Minimum = 10)

  6. Save and Close

  7. Return to Resources (Users)

  8. Find the API user you created earlier and click 'Edit'

  9. On the right side look for Security Level*

  10. Choose the API User + Webhooks

  11. Save and Close

๐Ÿงฉ These steps are completed inside your Salesbuildr Dashboard.

๐Ÿ”ง Step 1 โ€“ Connect Salesbuildr to Autotask

  1. Go to your Salesbuildr Dashboard

  2. Click the Configure your PSA Integration tile

  3. Select Autotask, then click Configure

  4. In the window that opens, enter the following

    1. API User name

    2. API Secret

  5. Click Save to begin syncing. Youโ€™ll receive an email once Salesbuildr has:

    • Synced your companies, contacts, products, and services

    • Connected categories and tax info

    • Set up webhooks for live updates

  6. Click confirm once complete.
