How to Create a New Group, Location or Sub Location

Instructions to add locations and sub-locations, and attach employees to those venues

Creating a new group, location or sub location allows managers to organise staff and records according to the structure of the business. This can reflect different venues, departments, teams, or areas within a site. Setting up these groupings makes it easier to assign roles, manage staff records and report accurately across the organisation. This guide explains how to create and name a new group, location or sub location in the system, which is necessary before assigning staff to those groupings.

Creating a New Group, Location, or Sub Location

  1. Click on the cog at the top right of the screen.

  2. Select Account Settings from the drop-down menu.

  3. Scroll down to Locations.

  4. Select Add/Edit.

  5. This view displays all your current groups, locations, and sub locations.

  6. For the purpose of this process, a group and a venue are both referred to as Locations.

  7. For example, Aurora Hotel Group has multiple locations.

  8. Aurora Restaurant is one of these locations.

  9. Aurora Restaurant Bar is a sub location within Aurora Restaurant.

  10. By setting up your locations in this structure, you can see at a glance the employees that form part of a sub location.

  11. To create a new location or sub location, click on New Location.

  12. Before creating a sub location, you need to create the location it will sit within.

  13. If the location will have sub locations, select Make all sub locations report to this location.

  14. Click on Employee List to attach employees to this location.

  15. You can alternatively do this via the Employee tab on the Dashboard.

  16. Employees need to be attached to a location before they can be added to its roster.

  17. Select the employees you wish to attach to this location.

  18. Click on Save.

  19. To add a sub location to a location, click on the plus sign across from the correct location.

  20. Enter the name of the sub location.

  21. Select Is sub location.

  22. Click on - Select - under Parent Location.

  23. Choose the location from the drop-down menu.

  24. As for locations, select employees for the sub location.

  25. Click on Save.

  26. You can also create a sub location within a sub location through the same process.
