Keeping your inventory accurate is key to ensuring customers only see products that are actually available. Whether you manage your menu directly in SauceyDirect or through a connected POS system, this guide explains how inventory updates work and how to keep your menu up to date.


🧭 Managing Inventory Without a POS Integration

If your store isn’t connected to a POS integration, inventory management is done directly in the SauceyDirect Merchant Dashboard.

In SauceyDirect, inventory is on/off; there are no quantity fields. Products are controlled by whether they are Published or Unpublished.

To update your menu:

  1. Go to your Merchant Dashboard.

  2. Navigate to Catalog > Products.

  3. Find the product you want to update and click the ✏️ (pencil icon) to edit it.

  4. Toggle the Published/Unpublished setting as needed:

    • Published: Product is visible and available for ordering on your customer-facing site.

    • Unpublished: Product is hidden and unavailable to customers.

  5. Click Save.

Best Practice: Review your product list regularly, especially after restocks or busy weekends, to make sure your published menu reflects what’s available in-store.


🏪 Managing Inventory with an Unsupported POS

If you use a POS system that isn’t integrated with SauceyDirect, you can still track delivery sales within your POS.

Here’s how:

  1. Create a custom field, tag, or department in your POS labeled “Delivery.”

  2. Set the price to $0 collected (since customers pay through your SauceyDirect delivery site).

  3. When a delivery order comes in, have clerks scan each product under the “Delivery” field.

This ensures your POS still tracks stock movement accurately, even if SauceyDirect isn’t connected, without affecting your store’s payment records.

Note: If you are POS integrated, you will not manage inventory through the SauceyDirect dash. You will only manage inventory levels within your POS system. Any menu changes you try to make in the SauceyDirect will get overwritten.


🔄 Managing Inventory with a POS Integration

If your store uses a supported POS integration, SauceyDirect automatically syncs inventory levels from your POS every hour.

  • When integrating, SauceyDirect will QC your menu and match it to products in our database. We will pull the last 3 months of products sold from your POS and upload those. Any products added later on must be sent to the Saucey team to be QC'd and added to your site.

  • These are one-way integrations, which means your POS sends data to SauceyDirect, but not the other way around.

  • Every hour, SauceyDirect pulls product availability and updates your menu accordingly.

  • If a product goes out of stock in your POS, it will automatically unpublish in SauceyDirect.

  • When a product comes back in stock, it will automatically re-publish on your SauceyDirect site.

Best Practice: Make sure your POS inventory is accurate and up to date; that’s the data we use to determine what’s live on your SauceyDirect menu.


📊 Tracking What Sold (Optional: Inventory Report)

You can also monitor which items sold through SauceyDirect using the Inventory Report in your dashboard.

This report shows all products sold during a specific time period and can be scheduled to email automatically at your preferred frequency.

To access it:

  1. Go to your Merchant Dashboard.

  2. Navigate to Reports > Product Performance Report.

  3. Select a date range, then Download or Schedule the report.

This is especially useful for merchants without POS integration who want a clear view of what’s selling on delivery.
