Navigating Appointment Reports
To access these insights, go to Reports & Analytics in the left-hand sidebar and expand the Appointments menu. You can choose between two primary views:
Past Appointments: A summary of completed, cancelled, and no-show bookings.
Upcoming Appointments: A forecast of scheduled work across all shop locations.
Analysing Appointment Data
Both the Past and Upcoming sections are divided into Analytics and Report tabs to help you visualise or list your data.
1. Analytics Tab (Visual Insights)
Use this tab to identify trends at a glance:
Appointments Over Time: View a bar graph showing your busiest days for the selected period.
Booking Sources: Compare Manual Appointment Bookings (made by staff) vs. Online Appointment Bookings (made by clients).
Customer Loyalty: Track how many bookings come from Existing Customers versus New Customers or Guests.
Key Highlights: View critical metrics such as:
Total No. of Cancellations and No-Shows.
Most Popular Service performed.
Peak Booking Days & Times to help with staff scheduling.
2. Report Tab (Detailed Breakdown)
The Report tab provides a searchable, granular list of every appointment.
Custom Filtering: Use the Filter button to narrow down appointments by specific services, staff members, or salon locations.
Data Points: Each entry includes the Appointment Date, Customer & Pet name, the Booking Type (e.g., MANUAL), and the Assigned Staff.
Date Created: See when an appointment was actually booked versus when it took place to understand your average booking lead time.
How to Filter and Export Data
To tailor your reports for specific business needs:
Select Date Range: Use the date picker in the top right to view data for the Last 7 days, Next 7 days, or a Custom Range.
Filter by Location: If you manage multiple salons, use the Location dropdown to isolate data for one branch.
Search: Use the search bar within the Report tab to find a specific client or pet instantly.
Troubleshooting Appointment Visibility
If you cannot find a specific appointment:
Verify the Status: Ensure you are in the correct sub-menu. If a client cancelled their appointment, it will appear in Past Appointments, not Upcoming.
Check Global Filters: Ensure the "Location" filter is set to "All Locations" if you are searching for a client who may have visited a different branch.
Refresh Date Ranges: Ensure your "End Date" encompasses the day the appointment was scheduled.
