Creating a dividend distribution (New Zealand companies)

Sharesies Private helps automate dividend calculations, statements, and reporting, saving time and reducing manual errors.

Before you start

Make sure shareholder details are up to date, including:

  • Name

  • Physical address

  • NZ IRD number

  • Tax residency (RWT / NRWT status)

  • Bank account details

Shareholders can update these via Custom fields or as an administrator, you can edit them here.

Create a new dividend distribution

  • Go to Dividends

  • Click New dividend distribution

Enter dividend parameters

Basic setup

Fill in the required details:

  • Dividend title – e.g. FY26 Interim

  • Toggle Customise shareholder statement (Optional)

  • Calculate dividend in – currency (e.g. NZD)

  • Record date – determines who is eligible

  • Payment (distribution) date – when payments are made

  • Select eligible share class(es)

    • If different share classes require different treatment, create separate dividends.

Imputation settings (NZ)

  • Fully imputed at 28% – default

  • Supplementary dividend for non-residents – optional for NRWT ≥ 15%

    • You can choose to include a supplementary dividend for non-residents who have an NRWT of 15% or more. If you do not pay a supplementary dividend for non-residents, then toggle this to the off position.

Calculate the dividend

  • Click Calculations

    • Cancel - exit the dividend without saving.

Enter monetary value:

  • Cash available for dividend, or

  • Dividend per share

Note, these will auto-calculate each other.

You’ll also enter or confirm:

  • Imputation credits

  • Imputation ratio (can be adjusted to match 28%)

Click Save and review

Review results

You’ll see:

  • Dividend per shareholder

  • Gross / net dividend

  • Imputation credits

  • RWT / NRWT amounts

⚠️ Yellow warning icons indicate missing info (e.g. IRD numbers).

You can also:

  • Download individual shareholder statements (PDF)

  • Export reports (CSV)

    • Export as CSV

    • Export IR DWT bulk upload

    • Export IR NRWT bulk upload (beta testing)

  • View company-level statement

Lock the dividend

  • Click Lock dividend

This:

  • Freezes calculations

  • Prevents changes from shareholder updates

You can unlock if changes are needed.

Publish the dividend

  • Click Publish

  • Confirm

    • by clicking confirm, you are willing for investors to be automatically notified via email that their dividend statement is available to be viewed and downloaded from their own Sharesies Private account.

  • Cancel

    • to return to the generated dividend statements.

Publishing will:

  • Lock the dividend permanently

  • Notify shareholders via email

  • Make statements available in their portal

  • Update any relevant balances

Treasury stock (New Zealand)

Do you have treasury stock that you want to exclude from your dividend distribution? Sharesies Private is set up to recognise where a company holds shares in itself (with the same entity ID number) and will exclude this shareholder and its shares from the dividend distribution.

For example, if Conductr Limited (ID 87091) holds 121,455 ordinary shares in Conductr Limited (ID 87091) and you are doing a dividend to ordinary shareholders, then the 121,455 ordinary shares will be excluded from the dividend calculations.

Download a dividend report by shareholder for a date range

To download an aggregate dividend report by shareholder for a date range, visit the 'Dividend reports' page.

  • Click on the button Export as CSV.

  • Select your From date and your To date

    • Example, the start date and the end date of the financial year.

  • Click Download CSV.

  • A CSV file is exported to your downloads folder.

Key tips

  • Double-check all calculations before publishing

  • Ensure shareholder tax + bank details are complete

  • Use CSV exports for IRD filing and reconciliation

  • Only include one share class per dividend if apportionment differs
