Creating a dividend distribution (Australia)

Once you’ve decided to pay a dividend, there’s a bit to manage; calculations, payments, and shareholder reporting.

Once you’ve decided to pay a dividend, there’s a bit to manage; calculations, payments, and shareholder reporting.

Sharesies Private helps by doing the heavy lifting for you. It:

Before you start: Check shareholder details

Accurate shareholder information is key to getting your dividend right.

Make sure the following details are complete:

  • Name

  • Physical address

  • Tax file number (TFN)

  • Residency status and withholding tax rate (if applicable)

  • Bank account details

Shareholders can update these via Custom fields or as an administrator, you can edit them here.

Create a new dividend distribution

  • Go to Dividends

  • Click New dividend distribution

Enter dividend parameters

Fill in the key details:

Basic setup

  • Dividend title → e.g. FY2025 H1

  • Record date → determines eligible shareholders

  • Payment (distribution) date → when dividends are paid

Share & tax setup

  • Eligible share classes → select relevant classes

  • Company tax rate → defaults to 30% (AU)

  • Fully franked toggle

    • Locks franking ratio to match tax rate (typically 30%)

To continue

  • Click Calculations

Calculate the dividend

You can calculate using either:

  • Cash available for dividend, or

  • Dividend per share

These update each other automatically.

Key inputs

  • Cash available → total dividend pool (excl. franking)

  • Dividend per share

  • Franking credits → tax credits attached to dividend

If fully franked is on:

  • Franking credits are auto-calculated

  • Use “Adjust to %” to match exact tax rate

Click Save & review

Review results

Here you can:

  • See each shareholder’s breakdown

  • Expand nominee structures

  • Spot missing TFNs (⚠️ indicator)

  • Download:

    • Individual statements (PDF)

    • Company statement

    • Full dataset (CSV)

You can also:

  • Download individual shareholder statements (PDF)

  • Export reports (CSV)

  • View company-level statement

Lock the dividend

When everything looks correct:

  • Click Lock dividend

This:

  • Freezes calculations

  • Prevents changes from shareholder updates affecting results

You can still Unlock if needed.

Publish the dividend

Once ready:

  • Click Publish

  • Confirm

    • by clicking confirm, you are willing for investors to be automatically notified via email that their dividend statement is available to be viewed and downloaded from their own Sharesies Private account.

  • Cancel

    • to return to the generated dividend statements.

Publishing will:

  • Lock the dividend permanently

  • Notify shareholders via email

  • Make statements available in their accounts

  • Update loan balances (if applicable)
