Leaving sheepCRM

Sometimes (thankfully not often!) customers have to end their sheepCRM Licence and leave the sheepCRM community - Here's some important info

Thinking of leaving sheepCRM?

If you have not yet made that decision - please do get in touch with us to discuss your reasons for going. We promise to listen and only offer solutions towards you staying with us if we truly believe they are right for you, we wont pressure you to stay if we feel that way either!

Termination

If you wish to leave sheepCRM we require formal notice on time (see termination & cancellation in sheepCRM Terms) to ensure you are not invoiced for a new period. Formal notice must be sent to support@sheepcrm.com.

Planning your migration away from sheepCRM

It is likely you won't need any help from us when leaving, but if you require our teams time or expertise in your migration from sheepCRM or just closing your system we offer a range of services that you can book by contacting support@sheepcrm.com - More information can be found here - Exit Services

Automation

If you have any automated actions, such as automatic emails or Xero invoice creation, you should carefully plan when you de-activate these to stop unwanted communications or invoices created (amongst other things).

Integrations

Any integrations you have from sheepCRM may need to be deactivated at a specific time, for example, if you have automated payment collection from membership renewals via GoCardless. If you do not deactivate in time, then payments will be collected.

⚠️ Please be aware some scheduled payments will be submitted to GoCardless before you deactivate - so always check the payment list report for these.

⚠️ Disconnecting integrations will not stop any payments already being processed or those created by systems such as GoCardless or Stripe so you may need to cancel payments you do not wish to be collected.

Data Exports

You can export data using tools you already have access to. The most commonly used for customers leaving sheepCRM are;

  • Customised Data Exports from the Contact Directory (V5)

  • Excel Exports from Fixed Reports

  • Exports from sheepCRM Segments

Once your licence ends your system administrator has seven days to export data using these tools.

In addition to this, we can provide data table exports in .csv format. These are done once only (it can be repeated for a charge - see sheepCRM services) and only on a specific request from your system administrator to support@sheepcrm.com
