Adding a follow on form to an event for gathering event information

In sheepEvents we have two ways to gather additional information from the buyer when they sign up for an event. Inline event questions and Follow-on forms. Both have slightly different use cases depending on your needs.

Please note: These features need at least an advanced level licence and the sheepEvents module licence.

What are Follow-on Forms for sheepEvents?

Follow on Forms are a standard sheep form that can have multiple sections with many questions. This can be used for asking questions regarding an entire order as opposed to just individuals.

What is the difference between Inline Event Questions and Follow-on Forms?

Inline Event Questions allow you to ask both buyer and attendee-related questions directly as part of the ticket-buying process. You can ask the same questions for each attendee and also a unique set for the buyer. This can be useful to find out specific information such as meal choices or any type of question whose answer is unique to the attendee. You can have one section of questions for both the buyer and attendees and it is better for collecting details for specific people.

Follow-on Forms should be used for gathering answers regarding the order in general, as opposed to individuals responses.

How do I add a Follow-on Form to an Event?

  • First you need to create a form through Settings>Communications & Flow>Forms. Please see Settings: Forms & Flowboards for more information.

  • After you have set up your form with sections and questions you can assign this form to your event/s.

  • Go to 'Events' in the main header. Click an existing event (or add a new event via the plus icon in the top right).

  • Click on the Configure Event button on the right-hand side of the event summary page.

  • From the side panel click on the 'Actions' button and then select 'Event Questions'.

  • From the modal, you can now select between either Inline Event Questions or a Follow-on Form. Select Follow-on Form.

  • Now, from the form dropdown field select the form you wish to associate with the event.

  • Hit save.

How do I View Follow-on Form submissions on a Contact?

You can view form submissions by going to the contact record of the buyer. You can do this by going to the orders tab from the event page, clicking on the buyer and then clicking the 'view contact' green button.

From here you have access to the full contact record select>Flow from the side menu and all forms (complete/incomplete) submitted by this contact will display for viewing. You can identify the correct form (if they have multiple) by the regarding heading, whilst also using this as a quick link back to the event.

How do I View All Follow-on Form submissions?

Assigning, reviewing, approving, declining and processing submissions made by all contacts can be also be done through sheepFlow boards. These submissions can vary from simple stand-alone form applications, to more complex applications for membership and grants.

You can view form submissions by selecting Flow from the top navigation bar and then>Forms>choose from Main/Personal Board from the available forms.

How do I Edit Follow-on Form submission answers?

You can view form submissions by going to the contact record of the buyer. You can do this by going to the orders tab from the event page, clicking on the buyer and then clicking the 'view contact' green button.

From here you have access to the full contact record select>Flow from the side menu>select the Event name to expand the information> Edit Answers. Select Save to update.

How do I download a copy of a Contacts Follow-on Form?

You can view form submissions by going to the contact record of the buyer. You can do this by going to the orders tab from the event page, clicking on the buyer and then clicking the 'view contact' green button.

From here you have access to the full contact record select>Flow from the side menu>select Actions> Download as PDF.

How do I Edit the Contact or Context of a Follow-on Form?

You can view form submissions by going to the contact record of the buyer. You can do this by going to the orders tab from the event page, clicking on the buyer and then clicking the 'view contact' green button.

From here you have access to the full contact record select>Flow from the side menu>select Actions> Change Contact/Context.

Contact: The contact is the person who can submit or modify this form. Updating will affect sheepApp user access.

Context/Regarding: If this form is being completed on behalf of a different contact, or is regarding a specific record, enter that here.

How do I Withdraw or Delete a Follow-on Form?

You can view form submissions by going to the contact record of the buyer. You can do this by going to the orders tab from the event page, clicking on the buyer and then clicking the 'view contact' green button.

From here you have access to the full contact record select>Flow from the side menu>select Actions> Delete/Withdraw Application.

Deleting an application will lose all the data attached and will not trigger any automatic actions.

Withdrawing an application for a contact may trigger an automatic action if one has been set up.

In both cases, all data entered will be lost.

Known Limitations to Follow on Forms

  • Using Follow-on Forms requires the user to be logged in to purchase the tickets.
