Configure Omni Statuses

You are able to configure all the statuses that you want your applications to move through from application creation to settlement

As an application is created, submitted, assessed, approved and settled, it will flow through a number of Statuses. These Statuses are key to the Omni workflow in that they can be used to:

  • trigger Assessment Processes and Action item tasks

  • be the outcome of a particular Process or Action item task

  • inform everyone of what stage the assessment is at

  • trigger Back Channel Messages; and other communications to interested parties

The Statuses that you want your applications to move through in your Omni workflow/s are configurable. Your channel will be created with standard statuses - but you are able to create any status you want.

What types of Statuses can you configure?

Simpology Manager has two sets of Statuses.

Primary Statuses

'Primary' statuses which are 'global' (set by Simpology). These are not configurable per channel. They are used as easy filtering tools. The Primary Statuses that will be auto-set in your channel are:

Generally this will be a status Loanapp is in while the application is being created (ie it has not yet been submitted)

This will be the initial stage an application will enter when it has been submitted for Assessment

This is the stage an application will enter when the assessment workflow has got to conditional and formal approvals

This is the stage an application will enter when the application is approved and the settlement workflow is triggered

This is the stage an application will enter once it is settled

This is a stage that an application will enter (and may many times) when you are waiting on further detail before you can continue the workflow

Sub-Statuses

'Sub-statuses' are configurable in your channel. Each sub-status will belong in one of the global Primary statuses. You are able to create any sub-statuses that you want.

How to Configure your sub-statuses

Your sub-statuses can be configured in Simpology Manager/Account/Setup/Application status setup:

In the Setup section, you will see a Primary Status dropdown; and then below this all of the current statuses that are in that Primary Status:

When you first go to this section, you will see standard statuses are already setup in your channel. You can choose to use these statuses, or delete them. You are also able to Add whatever other statuses you would like in your status configuration.

Delete any standard sub-statuses you don't want

A good first step is to go through all the standard sub-statuses that will come configured in your channel and delete the ones that you don't want. This cleans up your lists (and you might even want to delete all of them and start from scratch).

To do this, select the Primary Status you want to work on, and review the standard sub-statuses. You can then use the delete button to remove any of the sub-statuses you don't want:

Next you will want to create all of the sub-statuses that you want to have in your workflows. It's a good idea to first think through and map out the sub-statuses you would like in your flows, within each of the Primary Statuses. See attached list at bottom of this article as reference.

To create a new sub-status, make sure you are in the correct "Primary Status", and then click Add. In this example, we want to create a new sub-status in the Assessment Stage called "Valuation Shortfall". Go to Primary Status "Assessment" and click "Add":

This will pop-up the Sub-Status setup page, which you will configure with the details for this sub-status.

The sub-status setup page allows you to configure the sub-status how to be named, behave, trigger, alert etc. For a full breakdown of the Setup page controls, please click here.

Minimum Config: Add Name and Description for your sub-status

At the very least, you need to add a Name and Description for your sub-status. It may be that this is all you need to configure for the sub-status, if so click Save when complete:

Re-sort your sub-statuses

When you add a new sub-status, it will be created at the bottom of your sub-status list. If you want to, you can re-sort the list so that your new sub-status is in the correct position in the workflow. To do this, click 'sort':

This will allow you to drag and drop your new sub-status into the correct position. It will be at the bottom, click and drag to the correct position:

When done, click Save Sorting

And un-click the Sort button to exit the sort function. Your sub-status will now be in the correct position in your Primary Status settings:

⚠️If you add a new sub-status, you must then make sure that you add this sub-status to any Roles (see next section) that you want to be able to participate in application activities during that status.

Setup your Application Roles

For each person that you give access to your channel, you can give them an Application Role.

Application roles determine what statuses a User can CHANGE the Application to, via the "Set status" functionality in the Application Grid.

Your channel will be pre-set with a number of typical Application Roles (eg Broker, Assessor) however these can be modified, changed or added to at any time.

⚠️ Note: Application Roles are not to be confused with User Roles (Permission Groups) which determine role based security (permission & access).

To setup you Application Roles, click on the Roles tab in your Status setup:

In the Roles screen, you will see the following controls:

1. Application Role dropdown allows you to select which Role you are setting

2. Primary Status Filter allows you to filter the list down to specific Primary Statuses (you can use select all to have the full list

3. You can use these controls to auto-tick all or none of the sub-statuses

4. Lists all of the sub-statuses, which you can tick on or off for this particular Role.

5. The list of Roles will be pre-set. You are able to Add new roles if you want new ones to add to a person's profile. (Note you can also Delete Roles if you want to clean up the list).

The Role will be able to see/select that status in the "Set Status" functionality in the Application Grid:

Sub-status of Conditional Approval NOT ticked for a Role:

The Role will NOT be able to see/select that status in the "Set Status" functionality in the Application Grid.

When you have completed the configuration for a particular Role, click Save.

Add an Application Role to User Profiles

When you have created your Application Roles, you need to remember to set an Application Role on a User Profile for access to your channel. User Profiles are found in Organisation/People, in the Roles and Permissions section of the Profile:

💡Generally, the Application Role will automatically set based on the User Type that you give your user. But if you find that your User cannot access Loanapp or Omni in the way you want them to, it can be because their profile doesn't have an Application Role set.

IF you find that a User can see NO statuses when they try to set the status from the Application grid, it will be because they do not have a ROLE set in their User profile
