Issue a Condition to an external party via Info Request

You are able to send Conditions directly to Participants (eg Broker, Applicant) to review and complete via a secure portal

When you conditionally approve an application in the Assessment Module, any Condition of Approval that you have created (and is unmet) will automatically be created as a new Process/Action Item in your Assessment workflow.

You are able to then send that Condition via Info Request to your broker/applicant to satisfy the condition via the secure portal.

Their reply will come back to to the Process/Action Item for your to finalise, which will then satisfy the condition in the Assessment Module.

Conditions will become Action Items in your Assessment workflow

When you have set a Condition of Approval in your Assessment Module; and then Conditionally Approved the application, your Condition of Approval will automatically be created as a new Process/Action item in your Assessment workflow:

If you click on this Process, you will see the Action item (Condition) inside it:

If you then click on the Action item, you will be able to 'work' on the Condition:

  1. The Title of your Condition, as you set it in the Assessment Module

  2. The Description of your Condition, as you set it in the Assessment Module

  3. Click "Start" to put the Condition "in Progress"

Issue an Info Request

If you would like to send this condition to someone external (eg the broker, or the applicant) to complete, you can issue an info request. To do this, click Request Info:

This will popup a new window for you to set the detail of the Info Request and send it:

  1. The title of your Condition (which you set in the Assessment Module). You can update this if you want to

  2. You can add further detail for the Condition here

  3. Who you are sending the Condition to

  4. Type: you can select:

    1. Document Upload. This will mean that the recipient MUST upload something to be able to send the Info Request back to you

    2. Information. This will mean the recipient can OPTIONALLY upload something to be able to send the Info Request back to you (they might just answer the Condition with some written detail)

  5. Sends the Info Request

Here is a completed Info Request, ready to send:

Your Action Item (Condition) will change to Waiting

When you send your Info Request, it will be created (embedded) in your Action Item and the Action Item will change to Waiting:

As will your Process:

The Broker/Applicant experience

When you send your Info Request, the person you sent it to will receive an invite on email:

When they open the email, it will give them further detail and the instruction to 'click here' to login to review/answer the request:

If they 'click here', they will be taken to the login screen to login with their email:

And once logged in, they will be able to see the request:

If they click on the request, the can see the detail, upload a document or add comments, and click Submit to return to the Action item in Omni workflow:

Here the broker has uploaded evidence of the cancelled credit card and added comment:

How do you know a Condition has been returned?

When a Condition is returned via Info Request, two things will happen:

  1. You will receive email notification that you have received an Info Request:

2. The Info Request within the Action Item will update to Info Added:

This will mean that you have got a reply to review.

Review the Info Request reply

Click on the Info Request that is embedded inside the Action Item:

You will be able to see what Documents have been uploaded and any comments:

Click on the Document thumbnail to see what has been sent to you (it will open in a new browser):

If this is acceptable to satisfy the Condition, you can "Mark as Completed":

You will get a confirmation popup:

And the Info Request, embedded within the Action Item, will become Complete:

PASS the Condition/Action Item

If you have got the detail that you need to finalise the Condition/Action Item, you can then do exactly that. Add any comments you would like to add, and click SAVE:

And to close the whole Action Item/Condition, click PASS:

Your condition will now be Complete.

And if you have satisfied ALL conditions, your whole Process will now be complete:

This will also PASS the Condition in Assessment Summary

If you go back to the Assessment Summary, your Condition will now have a PASS status:

If you open the Condition, you will see that it has now been "Met":

Will any uploaded documents be sent to Supporting Documents?

Yes - anything that is uploaded and sent to you via Info Request will be sent to Supporting Documents when you click "Mark as Completed":

You are then able to attach it to any checklist item, if you need to.

What if the Info Request response is not acceptable?

If the returned Info Request is not acceptable or you need to get further detail, you can click "resend".

This will give you the option to add further detail to you recipient:

and when you resend they get another email notification to login and re-review the Info Request.
