SKED's customizable calendar is an interactive feature where you can view upcoming events and appointments and make changes to them if need be, as well as add new appointments altogether.
Schedule Appointment
To schedule a new appointment, click the â+â button at the top or select a time slot directly on the calendar. You can then search for a client using their last name, birth date, or other details. Once you find the client, hover over their name, and click the checkbox to highlight it in blue. The appointments that will be selectable will be based on the patient's availability and your office's set intervals.
Tip: For family appointments, highlight the checkboxes of each family member in blue.
Set Appointment Details
After selecting your client(s), click âNext.â On the following page, confirm the appointment time and choose the appointment type.
Tip: To schedule multiple appointments for the same client(s), click the âNew Appointments +â button to add more slots, and customize the date, time, and appointment type for each.
After confirming the appointment details, click the âSaveâ button to schedule it. The appointment will then appear in the corresponding time slot on the calendar.
Note: If the chosen time appears in the calendar as green, it indicates availability; yellow means itâs getting busy; and red means itâs fully booked.
View Appointment Details
To manage appointments, click on any listed appointment in the calendar to mark it as arrived or view its details.
Selecting âView Appointmentâ will open a popup displaying the appointmentâs scheduling history and options to send a message to the client, reschedule, mark the appointment as missed, or cancel it. When canceling, you can provide a reason, which will be saved in the appointment history.
Tip: You can also easily reschedule an appointment by dragging it into an available time-slot on the main calendar.
Filter Appointments
You can edit the calendar filters by Provider Schedule, Professional, and Office Location (if your office has multiple locations).
Filter by Provider Schedule: click the Calendar with a Clock icon to open a dropdown menu of available provider schedules. Select your preferred schedule to update the calendar results.
Filter by Professional: Click on the silhouette icon to activate a dropdown list of your office providers, and click on the provider you wish to see calendar results for.
Group Professionals Filter: Groups calendar results in sections separated by the provider to easily be able to see appointments separated by provider. Click on the Diamond with two downward arrows to activate this filter.
âFilter By Office Location: This option will only be available if your office has multiple locations. Click the Map Marker icon to activate a dropdown menu of your office's locations and make a selection to display results.
Reset Filters: Click the âReset Filtersâ button at the top right of the page to show the unfiltered calendar again. If your page is in a smaller window, you will have to click the 3 dot icon to reveal the Reset Filter button.
Edit Calendar Display
The calendar initially displays only the current date. You can navigate through different time frames by using the arrows next to the displayed date. You can also click on the calendar icon and jump to any date. (Located in the same text bar as the displayed date in the top toolbar)
To expand the calendar view to a weekly view, use the dropdown menu at the top of the page to switch between day and week views.
Edit Name Display
To change the names or abbreviations displayed on the calendar, click the eye icon at the top of the page and select your preferred configuration from the dropdown menu.
Edit Calendar Spacing
To adjust the size of the calendar cells, click the bi-directional arrows with three horizontal bars. A popup will appear, allowing you to set the cell width and height in pixels using the up and down arrows or by typing in the desired values. You can also manage the time intervals displayed in the cells using the dropdown menu.
Warning: If the interval doesnât match an existing appointment, the system will prompt you to reschedule.
Add New Client
Offices can add new clients directly from the calendar. If a client isnât already in the system, you can quickly create their profile while scheduling a new appointment.
To add a new client, click the â+â button in the top right corner of the calendar to open the scheduler. Then select âAdd Clientsâ at the top. Input the basic details: first and last name, email, phone number, birthday, and default appointment type. Click save to proceed with scheduling an appointment for the new client.
Warning: More detailed demographic info (e.g., address, gender) will need to be added later in the EHR, so we recommend adding new clients through the EHR to make adding it a one-step process.
FAQs
Why does it keep asking me if I want to reschedule an appointment?
It will suggest that if the time intervals do not align with appointments in your office, you update this by clicking on the âSpacingâ button (it may be behind the three-dot icon) and changing your interval to the appropriate length. Changing it to 5 minutes should work for every office.
How can I add an appointment?
You can either click on the time you would like to add an appointment or click the + icon at the top.
Can I make recurring appointments?
At this time, SKED does not support making recurring appointments. We would recommend doing this in your EHR.
Can I schedule a family all at one time?
Yes! Click the + icon in the right-hand corner and search for the familyâs last name. Hover over each person and check the boxes next to their name that needs an appointment created for them, then click Next. It will show you what is currently scheduled for them, and you can edit or delete those appointments if needed. Once youâre ready, click Next again, click the + symbol next to the New Appointments header to find the best time, and click Save.
What do the dots mean on the bottom right side of the appointment?
Black dots mean the appointment was missed, and green dots mean the appointment was marked arrived.
Why are my appointments not being marked as arrived?
The most common reason appointments are not updating to arrive is because SKED is not syncing properly with the officeâs EHR. Please reach out to the SKED Support team to troubleshoot further with you.
Can I make it so it shows the appointments under the scheduled provider?
Yes! To update this, click the âGroupâ setting (it may be behind the three-dot icon) and toggle the option for âGroup By Professional in Day View.â
Can I print out my appointments for the day?
Yes! To do this, click on âCalendarâ and change it to âListâ then click the print icon.
Can I see how an appointment was made or if it was rescheduled?
Yes! Click on the appointment and click âView Appointmentâ. Then it will show all the events of the appointment at the bottom of the appointment modal.
How can I reschedule an appointment?
You can quickly drag and drop the appointment or click on the appointment, click âView Appointment,â then âRescheduleâ at the top.
