How to approve shift swaps if the swap shifts option is enabled in SkyTab Workforce

Introduction

Once you've allowed employees to swap shifts, all employees can swap unless added to the 'Exclusion' list. The potential shifts to swap are identified by performing a search that extends a maximum of 30 days into the future from the current date. Review the process to approve shift swaps once they have been submitted below.

Navigation

Begin by logging in to Lighthouse, then navigating to Workforce > Scheduler.

Note: You will need Lighthouse Business Manager credentials, as well as be the manager of your department and have the Manage Schedules permission in SkyTab Workforce to complete this task.

With manager approval required for shift swaps, the following workflow applies.

  1. The employee initiates a request.

  2. Recipients that match get returned to the employee.

  3. The employee selects one or more recipients and sends the invitation. The manager gets notified of the shift swap (before the recipients receive the swap invitation).

  4. The manager accesses the notification, reviews the recipients, updates as needed, and then clicks Approve. The approval triggers the sending of the swap invitation to selected recipients.

  5. The recipient gets notified of the invitation to swap a shift. They have the option to Decline or Accept Swap.

  6. On the recipient accepting the swap, the process proceeds to completion (resulting in a successful shift swap), and all parties are notified (Employee, Recipient, and Manager). The affected shifts get automatically swapped between the employee and the recipient.
