What is Flexible Invoice Management?
Flexible Invoice Management gives HUB Super Admins direct control over how invoices are generated, addressed, and delivered across their organization.
Most customers can complete their setup entirely on their own in HUB. If your organization has more complex needs - multiple legal entities, or separate invoices per project - SkyWatch will work through the initial configuration with you. After that, your Super Admin manages everything independently.
Key point: After initial setup, all billing contact updates and invoice structure changes are managed directly by your Super Admin in HUB.
Why it matters for HUB customers
Large enterprise customers such as mining companies operating across multiple countries, engineering consultancies billing hundreds of client projects, infrastructure firms with separate P&Ls by region may have finance structures that don’t fit a “one invoice, one contact” model. Flexible Invoice Management was built to address this directly.
For organizations with subsidiaries, regional entities, or project-based billing, this means:
Invoices routed to the correct legal entity, addressed to the right accounts payable contact
Multi-country VAT and tax compliance, with each billing contact carrying its own Tax/VAT ID
Project-level invoicing for consulting and engineering firms billing individual client engagements
Full self-serve control - Super Admins update billing contacts, emails, addresses, and invoice wording directly in HUB at any time
Key concepts
Billing methods
A billing method represents the billing relationship between your organization and SkyWatch. Two types exist:
Arrears - invoiced monthly for the prior month’s activity
Prepay / Credits - your organization pre-purchases a credit balance and draws it down with orders. Billing methods are created by SkyWatch. If you need a new one, your Super Admin can submit a request directly in HUB.
Billing contacts
A billing contact is a record in HUB that holds the invoice delivery details and corresponds to the information that appears on the invoice header. Your Super Admin creates and manages billing contacts directly in HUB. A single billing contact can be assigned to multiple billing methods or projects, and changes take effect on the next invoice cycle.
Each billing contact includes the organization’s legal name and billing address, accounts payable (AP) contact name, billing email(s) (up to 6), Tax/VAT ID if applicable, and any invoice-specific wording such as required PO numbers or payment terms.
Invoice structure
Your Super Admin chooses how invoices are generated at the organization level. There are three options — a single invoice for the whole organization, one invoice per billing method, or one invoice per HUB project. Each option has its own setup path, covered in the guides below.
