Setting up invoice per project

How to set up an invoice per project for Flexible Invoice Management

The invoice per project structure generates one monthly invoice per HUB project, each addressed to its own billing contact. This is the right choice for consulting and engineering firms that need to map invoices directly to individual client engagements or internal cost centers.

Every project in your organization must have a billing contact assigned before this structure can be saved. It is worth mapping out your projects and their billing contacts before making changes in HUB.

Note: It is recommended to review the Flexible Invoice Management article before proceeding to ensure this is the correct invoicing structure for the organization.


Steps

Phase 1 - Request billing methods

Note: Skip this phase if your billing methods are already set up in HUB.

  1. Go to “Organization” in the top navigation, then select the” Billing” tab.

  2. Click” Billing Method Updates” in the top right, then select” New Request”.

  3. Complete the request form:

    • Billing Method - select an existing method to update, or leave blank for a new one

    • Billing Type - specify arrears* or prepay*

    • New Billing Method Name - the name that will appear in HUB

    • Additional Details - any other context for SkyWatch

  4. Click” Submit Request”. You will receive an email confirmation and can track the request under “Billing Method Updates”. SkyWatch will notify you when the billing method is ready.

Phase 2 - Create billing contacts for each project

Note: Every project needs an associated billing contact before the invoice per project structure can be saved.

Complete this step before changing the invoicing level.

  1. Go to” Organization” in the top navigation, then select the ”Billing” tab.

  2. Select the” Billing Contacts” tab and create a billing contact for each project that doesn't already have one. Each contact needs an organization name, billing address, and at least one billing email.

A single billing contact can be assigned to multiple projects. If several projects share the same accounts payable contact and billing address, you only need to create one billing contact and assign it to each project.

Phase 3 - Set invoicing level and assign billing contacts

  1. Go to “Organization” in the top navigation, then select the “Billing” tab.

  2. Under Invoice Mode, select Multiple Invoices.

  3. On each billing method card, find the “Invoicing Level” toggle and select “Project”.

  4. For each project listed under Linked Projects on the billing method card, assign a billing contact.

  5. Save your settings. HUB will validate that every project has a billing contact assigned — if you cannot save, a project is missing a billing contact. Check each billing method's linked projects and assign any missing contacts.

Projects cannot be grouped across billing methods. If two projects need to appear on the same invoice, they must share a billing method and that billing method's invoicing level must be set to Billing Method, not Project.


Things to know

Adding a new project later: When a new project is created under a billing method set to invoice per project, you must assign a billing contact to it before the next invoice cycle. Go to Billing Contacts on the billing method card and assign a contact to the new project. HUB will flag any projects missing a billing contact.

Updating a project's billing contact: Go to the Billing Contacts tab, find the relevant record, and edit it directly. Changes take effect on the next invoice cycle. If the project needs a different billing contact entirely, go to the billing method card and reassign it.

Switching back to invoice per billing method: You can change the invoicing level on any billing method card at any time. Switching from Project to Billing Method means all projects under that billing method will be consolidated onto one invoice going forward. The change takes effect on the next invoice cycle.
