Taking data digitally in SLP Toolkit makes billing for Medicaid slightly less painful, as you can easily extract all of the information taken in a session with the click of a button! Meet the Data Billing Export Report!
Here's a tooltip to show you how it works:
To access this report, click on the Reports tab and head to the bottom of the list:
After you click on the Data Billing Export report, select your students and a date range at the top. You will then see all of the documentation that 'most' Medicaid billing software requires.
You can easily edit the Service Type, Provider Name, Place of Service, and Observation fields for individual students, or for your entire caseload by clicking Actions > Select All. Make sure to check the box beside each field you want to edit:
You'll notice a Timestamp column, indicating the date and time that the student's session event was last edited (i.e. when data or notes were added).
If your team needs to track non-billable services in SLP Toolkit, there are two simple ways to do this:
Option 1: Add a note to the session
SLPs can enter a note in the student notes section of the session to indicate that the service provided was non-billable. This keeps the context attached to the session for reference.
Option 2: Tag sessions as “Non-Billable” in the Data-Billing Export
SLPs can mass-tag sessions by using the Data-Billing Export tool:
Go to the Reports tab
Select Data-Billing Export on the left
Choose the student(s) and date range
Check all sessions you wish to tag
Click Actions, then Edit Data
Select Service Type, and enter “Non-billable” in the field
Select Update
This will update the selected sessions with a “Non-billable” label for the service type for easy filtering and reporting.
To download the report, click the printer icon. All of this information will be exported into a .csv file spreadsheet!
Fingers crossed your district uses Medicaid billing software that allows for the import of a .csv file! Not sure? Ask your billing specialist in the district. Because what's better than a magical billing button that uploads all of that data from one file!
