You can archive contacts and properties that are no longer active. For instance, if a contact cancels their contract you can simply archive them.

Archiving a Contact

If a customer cancels their contact, you can archive their contact record. Archiving a contact will archive that contact and all properties belonging to that contact.

To archive a contact, open the contact and click "archive" in the dropdown in the upper right hand corner of the screen.

Archiving a Property

If a contacts has many properties, you can have archive just one of their properties. Archiving a property will cancel all future jobs for that property and remove it from the "active properties" list.

Archiving a property using a desktop browser

If you are logged into SortScape through a web browser, navigate to that property and select "archive this property" from the dropdown in the upper right hand corner. You can later un-archive the property if need be.

Once archived, you can still search and browse archived properties on the "Properties" screen from the "Archived properties" tab.

Archiving a property in the mobile app

In the mobile app, navigate to the property and click "edit." Click on the "archive" button as seen at the bottom of the screen.

Archived properties can no longer be viewed in the mobile app. To access archived properties and contacts you must be logged into SortScape through a web browser.

Unarchiving properties

You need to log into SortScape through a web browser in order to access archived properties. To unarchive a property, go to that property and click the "unarchive" button at the top of the screen.

Deleting contacts and properties

We only allow archiving of properties because we've had problems in the past where customers accidentally delete their information making it difficult to retrieve. Also, completely deleting a property will also delete the visit history for that property which can make innacurate any historical reporting you do. If you absolutely need to delete contact or property, please let us know which specific clients you want to delete and we can do it for you.
