SortScape includes a number of predefined reports to help you gain insight into your business. Using this data you can answer questions like:

  • Which customers do I spend the most time on?

  • Which of my employees work the most hours?

  • What is my future future estimated revenue?

Accessing business reports

Only administrators have access to the reports screen.

Business reports can be accessed by clicking from the "Reports" option in the top navigation or by clicking here.

Modifying and export reports

When viewing a report, you can set the chart type (like line, bar, pie, etc) and filter on attributes that are relevant to the report.

To modify the report, click on the "magnifying glass" icon next to the report title.

You will then be able to apply filters and export your chart data as shown below:

Available Reports

SortScape provides a variety of business reports to help you analyze and manage your operations. Below is a comprehensive list of the reports available.

Total Hours by Employee

This report shows total hours added to completed visits grouped by employee. Use this report to monitor employee productivity by tracking the total hours logged for completed visits. This is helpful for performance evaluations and identifying workload distribution.

Number of Visits by Employee

This report shows number of visits each employee logged hours. Use this report to understand employee engagement by showing how many visits each employee participated in. It’s useful for workload and activity analysis.

Estimated vs Actual Hours

This report shows the sum of employee hours added to completed visits compared to the sum of hours estimated. Use this report to compare estimated hours to actual hours worked, helping identify discrepancies and improve future scheduling accuracy.

Number of Visits Completed per Property

This report shows the total number of completed visits grouped by property. Use this report to evaluate client engagement and understand how often properties are serviced. This is useful for client relationship management and planning future visits.

Total Hours per Property

This report shows the sum of employee hours added to completed visits grouped by property. Use this report to get insights into time spent across different customers, helping you understand which clients use more of your time.

Total Hours per Property and Employee

This report shows the sum of employee hours added to completed visits grouped by property and employee. Use this report to get a detailed view of employee contributions per property, which can aid in performance evaluations and client-specific planning.

Total Actual Hours

This report shows the sum of employee hours added to completed visits. Use this report to get an overall view of total hours worked, making it useful for assessing company-wide productivity.

Future Estimated Hours

This report shows the sum of the estimated hours on future scheduled visits. Use this report to predict future workload and ensure proper staffing and resource allocation.

Number of Visits Completed

This report shows the total number of visits completed over a given period. Use this report to get a sense of overall business activity over a given period.

Items Used

This report shows total value of items added to completed visits. Use this report to track the usage and cost of materials for completed jobs.

Estimated Value of Future Visits

This report shows the sum of the estimated value of future scheduled visits. Use this report to project potential revenue.

Estimated Value of Completed Visits

This report shows the sum of the estimated value of past completed visits. Use this report to get insights into historical revenue, helping you evaluate financial performance.

Number of Visits Scheduled

This report shows the total number of future visits scheduled. Use this report to understand your upcoming workload and ensure adequate preparation.

Value of Invoices Created

This report shows the total value of invoices created from completed visits. Use this report to calculate revenue generated from completed jobs, assisting in financial reporting and planning. Please note that, if you're invoicing in Xero or QuickBooks Online, any changes to the invoices in those systems after they were created will not be reflected in this report. Therefore it's best to use the profit-and-loss reports provided in Xero or QuickBooks Online to get the more accurate revenue reporting information.

Total Hours Scheduled vs Hours Available

This report shows the total estimated hours for scheduled visits vs employee hours available (assumes 6.5 hrs/emp/day). Use this report to ensure alignment between workload and employee capacity, helping avoid over-scheduling or underutilization.

Total Timesheet Hours by Employee

This report shows total timesheet hours added by employee. Use this report to review timesheet data and ensure accurate tracking of employee hours.
