How do I set up a subscription for a customer?

This guide walks through how to create a subscription for a customer in SparrowHub, so they receive the same order on a regular schedule.

What are subscriptions in SparrowHub?

Subscriptions allow you to set up a recurring order for a customer, processed at a regular interval - weekly, monthly, or however often suits them. They're ideal for customers who buy the same OTC products, prescriptions or services from you on repeat, such as vitamins, supplements, skincare, infant formula or personal care items.

Once a subscription is set up, SparrowHub automatically generates the order at each interval and the customer is charged via their saved payment method. The order then flows into Send for fulfilment, meaning there's no change to your regular pharmacy workflow.

Subscriptions help you build predictable, recurring revenue while giving your customers a convenient, set-and-forget way to shop with you.


How does it work?

  1. Build the cart: Add the items the customer wants on subscription, including quantity and unit price.

  2. Set the schedule: Define the start date, how often the subscription should repeat, and how many cycles it should run for.

  3. Add customer details: Enter the customer's name, email and mobile number.
    ​

  4. Confirm the subscription: Review the summary and send the customer their subscription.
    ​

  5. Orders flow into SparrowHub: At each interval, a new order appears in Send > Open Orders > New Orders, ready for processing like any other paid order.

Note: Subscription orders are currently only available for Click & Collect.


Creating a subscription

Step 1

In SparrowHub, click New Subscription

Step 2

Search for a product or scan a barcode

You can add items manually for anything not found in search (like compounded medications, unique items or services).

Step 3

Enter the quantity and confirm the unit price for the item

Step 4

Repeat Steps 2-3 to add any additional products to the subscription

Step 5

Once all items are added to the subscription, press Next

Step 6

Select a Start Date for the subscription

This is the date the first order will be generated

Step 7

Set the Repeat interval

You can choose from days, weeks, months or years

Step 8

Choose the Duration for the subscription

This can be a specific number of "cycles" or you can set it to run indefinitely

Enter a Subscription Title to help identify the subscription later

Add any notes relevant to the subscription that is important for other staff members to know

Review the subscription products and pricing

Click the "First Name" field.

Enter the customer's details including their Name, Email and Number

Click Complete

The customer will receive an email containing a link to confirm their subscription and add their credit card details.

The new subscription can now be viewed and managed in the Subscriptions tab


Frequently asked questions

Can I add multiple products to a single subscription?

Yes. You can add as many products as the customer needs to a single subscription, each with its own quantity and unit price. They'll all be bundled into the recurring order together.

What repeat intervals can I choose from?

Subscriptions can repeat every number of Days, Weeks, Months or Years, so you've got flexibility to match however often the customer wants their order.

How long does a subscription run for?

You decide at set-up. You can run a subscription for a set number of cycles (e.g. every 28 days for 3 cycles) or leave it running indefinitely with the Forever option.

How is the customer charged for each recurring order?

The customer's payment method is used to charge for each order automatically, just before the next order is generated.

Where do subscription orders appear for fulfilment?

Each subscription order ready for processing lands in Send > Open Orders > New Orders when it's generated, so your team can process it using the same workflow as any other online order.

Can I cancel a subscription after it's been created?

Yes. All active subscriptions can be managed under the Subscriptions tab, where you can cancel them at any time.

Do I need to enter the customer's payment details?

No - the customer completes payment setup themselves via the confirmation they receive, keeping their card details secure.
