Create a Client Task

By creating a Client Task you can assign Documents to a client for completion. For clients to complete a Task you will need either Engage or ClientConnect.

There are two types of Client Tasks:

  • New Document

  • Checklist

For a client to complete a Document you must create a new Client Task and choose which Document/s the client should complete. When you select a single Document for completion a New Document task is created. If you require the client to complete multiple Documents, then a Checklist is created.

THE BASICS

Client Tasks are created in the Workflows module in Penelope. By creating a Client Task, you can assign Documents to a client for completion. For clients to complete a Task, you will need either Engage or ClientConnect.

There are two type of Client Tasks, New Document and Checklist tasks. For a client to complete a Document, you must create a new Client Task and choose which Document/s the client should complete. When you select a single Document for completion, a New Document task is created. If you require the client to complete multiple Documents, then a Checklist is created.

Client Workflows can occur at the following levels in Penelope: Individual, Case, Service File and Service Event.

CREATING A CLIENT TASK

STEP 1

Browse to the client record you want to create the task in.

Important: When using ClientConnect, the newly created Client Task will still be visible to the ClientConnect user, even if the Case Service is set to invisible in ClientConnect.

STEP 2

On the Workflow sidebar in the Client Task section, click Add.

STEP 3 From the Assigned To drop-down, select which client you want to assign the task to.

Note: For a client to appear as an option to assign a task to, they also must have email enabled and consented to in their Message Settings.

STEP 4 In the Due Date field, select a due date for the task.

Note: The client must complete the assigned task prior to this date. After the selected date the link becomes invalid (Engage only).

STEP 5 In the Subject and Messages fields, type a subject line and message for the task that you want to display to the client.

STEP 6 Optional: In the Followers section, select or type the name of any additional workers you want to be aware of the task.

STEP 7 In the Document section, choose which Document/s you want the client to complete.

Note: The Document list in a task displays any Documents that have been attached to the record type (Service File, Casel, Event, Etc...) and are enabled as Client Facing. You can either select one Document for a New Document task or multiple documents for a Checklist Task.

STEP 8 Click Save

AFTER YOU FINISH

An email is sent to the client with a link to complete the Document/s that you have assigned to them.
