Targets and Actuals

Penelope allows agencies to set Targets for a wide range of organizational goals and compare the results (or ‘Actuals’) against those Targets.

To be able to add Targets in Penelope the Worker must belong to a Security Class that has access to the Allow access to agency targets Security Class rule. The Worker will also need access to a Report Security Class that has access to Target and Actual reports. The Target List link can be found under the Links sidebar when logged into Penelope.

The Target module in Penelope allows your agency to set targets for a wide range of entities (Individual, Case, Service File, Service Event etc) and compare the actuals against the targets using the available built-in report.

Reportable Categories of Data

There are 6 main categories of data you can report on (this can then be broken down into dozens of sub-categories) using the Targets module in Penelope. These include:

Quantity of Cart Items for each (for appointments that have been resolved)…

  • Attending Client

  • Attending Worker

  • Cart Item

  • Cart Item Payor

  • Item Quantity Equivalence

Service Events for each (both number and duration)…

  • Attending Client

  • Attending Worker

  • Event

Duration of Time Based Cart Items for each (for appointments that have been resolved)…

  • Attending Client

  • Attending Worker

  • Cart Item

Invoiced Revenue for each (must be posted)…

  • Cart Item

New Clients in a period for each (the year, first “show” appointment)…

  • Case Member

  • Individual

  • Presenting Participant

  • Service Participant

New Clients to Organization for each (first “show” appointment all-time)…

  • Case Member

  • Individual

  • Presenting Participant

  • Service Participant

For each data element, you can select the calculation (count or sum/duration) as well as the interval (annual, month, quarter, semi-annual). You can also choose how to display the results and whether you want the target to be selectable in the Target reports list.

Step 1 – How to Add a Target

Follow the steps below to add a new Target:

  1. Navigate to your My Home page.

  2. From the Links sidebar select Target List.

  3. Leave the criteria blank and click Go.

  4. In the Results section click Add Target.

  5. Enter a Target Name (e.g. Service Events by Worker).

  6. Enter a Title (e.g. Calendar Year 2019).

  7. Enter an End Date (e.g. 31/12/2019).

  8. Complete the fields under the Report Data heading including any additional fields which may appear as a result of your Data selection. These fields will vary depending on the options selected. In this example, we will select the Case Service Events (any status) element.

  9. Select your required display options located under the Display heading.

  10. You can now breakdown your data further using the options available under the Breakdown header. In this example, we will breakdown the data further by adding the Case Service element.

  11. Select All or Specific as required.

  12. Click the plus (+) icon to add it to the Breakdown list.

  13. Repeat steps 10-12 as required.

  14. Click Save.

Step 2 – Setup a Target

  1. Navigate to your My Home page.

  2. From the Links sidebar select Target List.

  3. Select the Search Criteria and click Go.

  4. From the Results section select the Target you would like to Setup.

  5. Select the Setup tab.

  6. In the Files section click Generate target.

  7. Select the Year.

  8. Check/uncheck Row Totals and Subtotals per group as required.

  9. Click Save.

  10. In the Files section under File, click the CSV file you have just generated. This will initiate a download. Follow any on-screen instructions.

  11. Open the CSV file:

    1. Enter your agency’s targets.

    2. Remove any columns as directed in row A of the CSV file.

    3. Save the CSV file to your computer.

  12. To upload the CSV file click Choose file in the Upload section.

  13. Select the CSV file from your computer.

  14. Click Go.

  15. In the Files section click Process for the newly uploaded CSV file.

  16. Select the Year.

  17. Click Save.

After the CSV file has been processed the targets will display in the Target By Year section. You can click more view options to display the on-screen reporting filters for the targets and actuals.
