Here you will find a list of the most popular and commonly used reports in Penelope. Reports can be accessed from the View all Reports link in the Reports side bar on the right hand side of the Worker’s My Home page.

Reports will open in a new window when viewed in Bonterra.

Open/Closed Service File Report

The Open/Closed Service File report will display a list of all open or closed Service Files within a selected date range (such as this week, last month etc). The Case name, service, start date, end date and Primary Worker are displayed. As of Penelope version 4.15.1.0 (released August 2019) it is possible to include and filter by Service File close reason.

Complete Case Profile Report

The Complete Case Profile report provides a summary of the information in a Case including details from the Intake, Service Files, Case Profile and events. The detail view includes all of the demographics as well (i.e. address, race, employment status etc). There is also the option to include all individual Documents in the report.

Unique Individuals Demographics Report

The Unique Individuals Demographics report provides a customizable report on Individual demographics. It will report on up to two different demographics for all participants within a/all service/s. Any check box or drop down style Individual user defined demographic can be selected in this report.

Service File Demographic Report

The Service File Demographic report provides a breakdown of how many clients are enrolled in a service by a chosen demographic (i.e. age, race, country of birth etc).

Master Service Statistical Report

The Master Service Statistical report provides a count of how many Service Files were added or closed within a time frame (i.e. this week, month, year etc). In addition to this it displays the number of unique Individuals that received service and the number of events.

Cart Service Unit Report By Worker

The Cart Service Unit Report by Worker adds up the total number of Cart Service Units for a time period (i.e. this week, month, year) for each Worker. The report can be summarized by service, service class, event type, event status, event site, Service Unit type or Service Unit Class and the Worker’s role.

The detail option will list out event details for each Cart Service Unit. The invoiced amount column is the total amount invoiced for each service unit.

Cart Service Unit Report

The Cart Service Unit report adds up the total number of Cart Service Units for a time period (i.e. this week, month, year). It is possible to filter the report by service, service class, event type, event status, event site, Service Unit type or Service Unit Class. The detail option will list out event details for each Cart Service Unit.

The invoiced amount column represents the total amount invoiced (and posted) for that Service Unit as of the time the report is run.

Worker Day Sheet Report

The Worker Day Sheet report lists all scheduled events for a Worker for the selected time frame (i.e. today, this week, month etc). If no specific date is selected the report will select today’s date. The date, time, length of event, Case and all attendees (all clients and Workers) are shown for each event.

Direct Hours Percentage Report

The Direct Hours Percentage Report will report on the number of direct and indirect hours by Worker.

  • Direct Hours – hours spent on Case/Service File events.

  • Indirect Hours – hours spent on non-Case/Service File events such as staff meetings, admin time etc.

Referral History Report

The Referral History Report provides a summary of all Inbound and Outbound Referrals.

Useful Information

You can easily print a report by clicking on the logo in the top left hand corner of the report screen. This will open the print dialogue box for your operating system. Information on saving and printing reports can be found here.

Copying a Report in CSV format

While there isn't an official way to export standard reports in a CSV format, it is possible to copy & paste the report contents into a program such as Excel while maintaining the columns and rows the data is displayed in. To do so:

  • Run the report as you normally would using the applicable filters and parameters

  • Click and drag on the report to highlight the on screen data

  • Use the keyboard command Ctrl+C for Windows or Cmd+C for Mac to copy the text in CSV format

  • Paste the data into the reporting tool of your choosing using Ctrl+V or Cmd+v

From here, you can manipulate and export the data as needed. Please note that this has only been tested in MS Excel, and while you may have success in other reporting tools, we cannot advise on how best to use them.
