DSS Reports Guide

This guide provides an overview of all of Penelope’s built in DSS reporting options. To access these reports your agency must have a valid DSS license.


Configure access to DSS reports

To provide access to run the DSS reports, you must modify an existing custom Report Security Class or create a new custom Report Security Class.

Prerequisite: You must be logged in to Penelope using a System Administrator account.

  1. In the User Setup section, click Security.

  2. Click Class Setup.

  3. Complete one of the following actions: a. To modify an existing custom Report Security Class, in the Report Security Class section, click the name of a class. b. To create a new custom Report Security Class, in the Report Security Class section, click Add.

  4. As applicable, select the reports you want the workers belonging to this class to have access to.

  5. Click Save.

About accessing reports

DSS reports are available both from the “View All Reports” page and the “My Reports” section of the Reports sidebar or directly on the applicable record the report is concerned with.

DSS Client Demographics Report

Description - This report displays a count of all individuals with at least one DSS-based Event where the attendance has been recorded as show within the defined time period. The count of individuals can be broken down by DSS demographics.

Typical audience - QA/Report writer, Program Manager

Type of data - General statistics (no client-identifying information)

Location in Penelope - View All Reports > DSS Reports

Report options

  • Report On (row values) - Options include: Individual Site, Gender, Suburb, Country of Birth, Origin, Language (DSS)

  • Report By (column values) Options include: Individual Site, Gender, Origin

  • Percentages none, row, column, total

DSS Client Submission Report

Description - This report displays a list of all individuals with DSS information in Penelope that have a successful add submission to DSS for a specified timeframe (where the timeframe is the date of successful add to DSS). A total count of individuals is also displayed. Report details include the individual name, Case, DSS Client ID, Site, Date added to DEX, and date updated with DEX.

    DSS Case Submission Report

Description This report displays a list of all individuals DSS Cases in Penelope that have a successful add submission to DSS for a specified timeframe (where the timeframe is the date of successful add to DSS). A total count of Cases is also displayed. Report details include the Service File ID, DSS Case ID, Outlet, Activity, Primary Worker, Date added to DEX, and date updated with DEX.

DSS Session Submission Report

Description This report displays a list of all Events added to DEX within a specified timeframe. Details include Event ID, Event Date, Outlet, Service Type, total fees, duration, number of unregistered clients, number of clients, and number of supports. A sum of total fees, duration, number of unregistered clients, number of clients, and number of supports is also displayed.

Error Details Report

Description This report displays a list of DSS error details for submissions. If run from the “My Reports” section, the report displays DSS error details only for submissions for records assigned to the worker running the report.

DSS Case Record Report

Description For DSS Case Services, this report displays a list of Service Files with missing mandatory information for DSS for any member in the DSS tab of the Service File. A Service File is included in this report if it is missing one or more of the following criteria: Outlet, Member Primary Reason for Assistance, and/or Member Participant Type.

DSS Individual Record Report

Description This report displays a list of individuals with missing mandatory information for DSS in their Individual Profile. An individual is included in this report if they are missing one or more of the following criteria: Address (Suburb, State or Postcode), Country of Birth, Origin, and/or Language.

DSS Session Record Report

Description For DSS Case Services, this report displays a list of Events with missing mandatory information for DSS in the DSS tab of the Event. An Event is included in this report if it is missing one or more of the following criteria: Outlet, Service Type, and/or Event Status. Note that this report excludes events marked not for submission.

DSS SCORE Assessment Report

Description This report displays a list of completed DSS Score Assessments in Events by Service File and Individual. For each Event listed, the Phase, Score Type, Score, and Score Value are displayed.
