Objective

Add a user into StructShare so that they can collaborate and communicate through the system.

Background

Creating users in StructShare will allow them to access the system using their email address and a password that they configure. You will send the newly created users invitations to the platform so they can then create a password through their emails. You will also be able to set up their permissions so that they can engage in a workflow with the right capabilities.

Things to Consider

  • Must be a System Admin in order to add users into StructShare system.

  • Valid Email Addresses:

    • Users will only be able to access StructShare using valid email addresses. Passwords are configured via email invitation.

  • Import Capability:

    • Users can be added manually, but they can also be imported using an excel template.

  • Procore Integration:

    • Your users can be synced from your Procore account if you have the systems connected. Your Account Manager can help you do this.

Steps:

  • Add a User to StructShare Manually

  • Import a List of Users to StructShare

  • Sync Users from Procore to StructShare

Add a User to StructShare Manually

  1. From the ‘Home’ screen in StructShare, click on the ‘Company Account Settings’ gear icon in the top right corner.

  2. Click on ‘Users and Permissions’.

  3. Click on the plus icon ‘+’ on the right-hand side of your screen

  4. Enter in the relevant information:

    • Email Address

    • First Name

    • Last Name

    • Phone Number

  5. Assign special roles if necessary:

    • System Admin - Will automatically be added to new projects and will be able to add or edit company level information like items, suppliers, cost codes, etc.

    • Invoices Admin - Will have full autonomy to access and edit all invoice information.

    • Mobile Request Only - Will restrict a user from accessing StructShare on their desktop and these users will engage with StructShare through the mobile app.

  6. When finished, click ‘Proceed to Permissions

  7. Set up the user’s permission levels

    • Select permissions uniquely for each project or apply the permission level to all projects.

    • Tip: Hover over the information icon to get more insights into each level.

  8. When finished, click ‘Send Invitation Link’.

Import a List of Users to StructShare

  1. Prepare your user import using the Excel Template

  2. From the ‘Home’ screen in StructShare, click on the ‘Company Account Settings’ gear icon in the top right corner.

  3. Click on ‘Users and Permissions’.

  4. Click on the cloud icon on the right-hand side of the screen to import the spreadsheet.

  5. Choose your file from your folder structure.

  6. Adjust the columns if necessary

    • Note that if your first row has headers you should check the box to ‘Skip First Row’.

Sync Users from Procore to StructShare

  1. From the ‘Home’ screen in StructShare, click on the ‘Company Account Settings’ gear icon in the top right corner.

  2. Click on ‘Procore Settings’.

  3. Connect Procore to StructShare by logging in to Procore

  4. Once the connection is established, click to ‘Start Import’.

  5. Select your company from the dropdown list.

  6. Sync Users to StructShare by selecting them from the User dropdown.

    • Note that you can select multiple users at one time.

    • Note that you also have the option to sync all users.

  7. Click ‘Import’.

  8. Adjust the newly added user permissions as needed.
