Unit Size - Price by Quantity per Unit

Objective

This update allows your Field Team to request the materials in the unit of measure they are familiar with, while calculating the price that was given by the Estimate and allows your teams to see all of this data when confirming delivery of the PO and approving the invoice against the PO.

Background

Common with Drywall Contractors, materials are Estimated, Priced and Ordered in various Units of Measure and this information needs to be calculated and displayed for internal users and on Supplier communication based on the user persona.

Things to Consider

  • This is for adding items to your Item Database or to a project’s BoM (Bill of Material)

  • System Admin permission is needed to add new items to the Item DB

Steps:

  • Adding Item to Item Database using ‘Price By’ and ‘Qty per Unit’

  • Adding Item to a Purchase Order

Adding Item to Item Database using ‘Price By’ and ‘Qty per Unit’

  1. You can import your list of items in the Item Database following this article: Importing your Item List into StructShare

  2. You will want to look specifically at the fields of ‘Price By’ and ‘Qty per Unit’. As an example, Drywall 4 x 8 would have a unit of measure as ’Sheets’, and then ‘Price By’ would be ‘Sq ft’, and ‘Qty per Unit’ would be 32.

Adding Item to a Purchase Order

  1. Search for the item after selecting the project and supplier for the PO.

  2. After selecting your quantity and unit price, you will see a calculation within the ‘Qty per Unit’ field.

This breakdown will consistently be shown in StructShare throughout the life of the PO (including on the PDF and after an invoice is linked as well).
