Objective

Set a default Prefix for PO numbers company wide via 'System Settings' and on a project by project basis via 'Project Settings'

Background

Customize your PO numbers to effectively track your orders at the company and project level. These settings will allow you to have a Job Number, a PO Prefix and define where the PO numbering begins.

Things to Consider

  • Permission Requirements:

    • Only ‘System Admins’ are able to make changes to the settings in your StructShare instance

  • If you change the settings for the PO prefix in the 'System' or 'Project Settings', the new PO prefix will be applied to orders moving forward and will not affect orders that were previously created

  • The character limit for the PO prefix is 20 characters

  • Zeros can be used as part of the PO prefix

Steps:

  • System Settings

  • Project Settings

System Settings

  1. Navigate to the gear icon on the top right hand corner of your StructShare instance to the ‘Company Account Settings’

  2. Select ‘System Settings’

  3. Determine the default setting for your PO numbering

    • ‘Serial PO counting company-wide across all projects’

    • ‘Separate PO counting per project with Job#’

  4. Once your default PO numbering has been set, ‘Set a default prefix for PO#:’

  5. Scroll down to the bottom of the screen and select ‘Save Changes’

  6. Changes will apply to all orders created after the setting has been adjusted and changes have been saved

Project Settings

  1. Navigate to the gear icon on the top right hand corner of your StructShare instance to the ‘Company Account Settings’

  2. Select ‘Projects Information’

  3. Click on the pencil icon next to the project you wish to edit the PO numbering

  4. Click over to ‘Project Setup’

  5. Determine the PO Numbering for the project:

    • ‘System Generate PO #’

    • ‘Serial PO Counting with Job #’

  6. Add the ‘Prefix for PO #’

  7. Select Update to save your changes

  8. Changes will apply to all orders created after the setting has been adjusted and changes have been saved
