Objective

How to utilize the ‘Ship To’ field during Order Creation.

Background

StructShare gives you the power to ship orders to various locations based on your internal process. You can set a default ‘Ship To’ in system settings, add a ‘Custom Address’ in the checkout screen, and make changes to the ‘Ship To’ on Material Orders’ when needed prior to confirming delivery to ensure the material you are ordering arrives at the correct location.

Things to Consider

  • Setting a Default Shipping Address in ‘System Settings’ will show you the available ‘Warehouse’ locations based on what has been added in the ‘Warehouses’ screen.

  • This option is only available for the following order types:

    • Material Order’

    • External Order

Steps:

  • ‘Ship to’ a Warehouse

  • Ship to a ‘Custom Address’

  • Setting a ‘Default Delivery Address’

Ship to ‘Warehouse’

  1. Select the ‘Create Order’ dropdown

  2. Choose ’Material Order’ or ‘External Order’

  3. Select the ‘Project’ that you are requesting or ordering to

  4. If you have the permissions to select a Supplier, select a Supplier

  5. Create your list

  6. Select ‘Continue’ to the checkout screen

  7. Select a Warehouse as your ‘Ship To’ in the dropdown (the ‘Ship To’ Address will be reflected on the PO PDF)

  8. Add any additional order details

  9. Select ‘Request Approval’ or ‘Place (or Save) Order’ based on your permission level and the order type selected

  10. When the Material PO arrives at the selected ‘Warehouse’, confirm the delivered quantities. The items will be added to your Warehouse’ as ‘Inventory’ that will be allocated to the associated Project/PO

  11. When the Material PO is ready to go to the jobsite, your team in the field can confirm the delivered quantities on site

Ship to ‘Custom Address’

  1. Select the ‘Create Order’ dropdown

  2. Choose ’Material Order’ or ‘External Order’

  3. Select the ‘Project’ that you are requesting or ordering to

  4. If you have the permissions to select a Supplier, select a Supplier

  5. Create your list

  6. Select ‘Continue’ to the checkout screen

  7. Select the ‘Custom Address’ in the ‘Ship To’ dropdown (the ‘Ship To’ Address will be reflected on the PO PDF)

  8. Add your ‘Delivery Address'

  9. Add any additional order details

  10. Select ‘Request Approval’ or ‘Place (or Save) Order’ based on your permission level and the order type selected

  11. When the Material PO arrives at the selected ‘Custom Address’, confirm delivery of received quantities.

The ‘Custom Address’ will not have 2 delivery locations and the items will not be added to a ‘Warehouse’ as inventory.

Setting a ‘Default Delivery Address’

  1. Click on ‘Settings’

  2. Select ‘System Settings’

  3. Select the Warehouse location for your ‘Default Delivery Address’

  4. Save Changes

This will ensure that all Material Orders created will automatically default through the selected Warehouse. You can still adjust this in the checkout screen during order creation if you will not be shipping a specific order through a Warehouse location.
