What To Do If A Payment Doesn’t Appear on Your POS

If a guest shows a payment confirmation on their phone but the table is still open on the POS, follow the steps below to confirm whether the payment was completed and determine what to do next.

Quick answer: If the payment status is Successful but the notification status is Not Notified, the payment was collected but the POS was not updated. Manually record the payment on the POS using sunday as the payment method so the table can be closed. Do not ask the guest to pay again.

Step 1: Check the payment in sunday

You can check the payment in either of the following places:

  • sunday for staff: Open the Activity tab and select the relevant table.

  • sunday Dashboard: Go to Operations > Payments and locate the payment. You can use the table number, date, or payment amount to help find it.

Review both the payment status and the notification status:

  • Payment status: Confirms whether sunday successfully processed the payment.

  • Notification status: Confirms whether the payment information was successfully sent to the POS.

Step 2: Follow the appropriate next step

Case 1: If the notification status is “Notified”

This means sunday sent the payment information to the POS, and the POS acknowledged receiving it.

First, confirm that the payment appears correctly on the POS and that the table is closed.

If the payment appears on the POS but the table is still open, the POS may have a configuration issue that is preventing the table from closing automatically. Contact sunday Support through the pink chat bubble on your dashboard for help.

Do not enter the payment again unless sunday Support specifically instructs you to do so.

Case 2: The status is "Not Notified"

This means sunday was unable to communicate the payment to the POS. Select the “i” icon next to the status to view the reason for the notification failure.

Next, check the overall payment status:

If the payment status is “Successful” or “Paid”

  1. The payment was successfully collected, but the POS was not updated.

  2. Manually record the payment on the POS using sunday as the payment method. This will allow you to close the table correctly.

  3. Do not ask the guest to pay again.

If the payment status is “Failed”

  1. The payment was not completed. Do not manually add a sunday payment to the POS.

  2. Ask the guest to try the payment again. If the payment continues to fail, contact sunday Support through the pink chat bubble on your dashboard.

  3. If the payment status is unclear or shows another status

  4. Do not manually record the payment or ask the guest to pay again until the payment status has been confirmed. Contact sunday Support through the pink chat bubble for assistance.

​What should I do if the synchronization between Sunday and my POS system isn't working?

Check that your POS is connected to the internet. Restart the POS and the router. If you have an iPad-based POS, please check that you have the latest version of your POS application. Also, check if your POS application is in the foreground (and not in standby) on your main POS device.

What does it mean when a payment is not notified to your POS?

If you get a SFS notification and/or see “Not Notified” on the sunday dashboard, this means the POS was not notified of the sunday payment. sunday will keep trying to sync the payment. If it doesn’t go through automatically, you should close out the bill manually by entering the ‘Sales’ and Tips’ in your POS using the sunday payment tender.

What do we do if the guest shows us they paid, but we do not see it on our POS?

This is usually caused by your POS being temporarily offline, which can delay payments from posting. If your POS is online, first make sure the check isn’t still open in the POS. Then confirm the payment status in the sunday for staff app or the sunday dashboard. Check its status in the dashboard. If it's "Not notified," you must add it manually to your POS using the "Sunday" payment method.

Does Sunday integrate with other systems (accounting, inventory management)?

Sunday integrates directly with Point of Sale (POS) systems. If your other systems are themselves integrated with your POS, they will receive the data through it.

How does menu synchronization vary depending on the POS?

The method varies: for Zelty, we retrieve catalogs named "Sunday"; for Lightspeed-K, the dedicated menus; for L'Addition or Cashpad, the entire card.

Can Sunday work if my POS is offline?

Payment by QR code and the link with the payment terminal will not work, as they depend on communication with the POS. However, the terminal can be used in "Quick Payment" mode.

Can an update to my POS system break the integration with Sunday?

It's possible. It is recommended to inform your Sunday account manager before performing a major update to your POS system.

How does the manual “sunday” payment tender button work?

The sunday payment tender button lets your POS record the exact amount paid through sunday so it matches your nightly payouts. It works like a cash payment tender, telling the POS what amount to expect and reconcile at close. In 99%+ of cases, this happens automatically with a sunday payment.

What happens when I split a bill in the POS?

When you split a bill in the POS, both checks appear to the guest on sunday. Guests can pay a full check or select items from one check, but they can’t move items between checks or mix items from both. We recommend keeping all items on one check and letting guests split the bill themselves using sunday.

How do Service Charges and discounts work with sunday?

Service charges and discounts added in the POS show on sunday. Apply service charges early so guests don’t pay before they’re added. Discounts appear under the item or at the bottom of the bill.

If a discount or voucher appears correctly on the POS and payment terminal but is missing from the sunday bill, the discounted total may not have been included in the bill data sent to sunday when the QR bill was generated. In this case, the sunday bill may show the original amount.
