How can I manage accounts in Taplio using Organizations or Shared Accounts?

The difference between Organizations and Shared Accounts, and when to use each.

There are two ways to manage several accounts in Taplio: Organizations and Shared Accounts. This guide explains how they differ and when to use each.

Overview of Account Access Options

Taplio provides two main ways to manage accounts:

  1. Organizations: Best when you want one place for account management and billing. People you invite to your Organization get your subscription plan and are added to your billing. As an Organization admin, you can manage their accounts as if they were your own, including posting on their behalf. You don't need Shared Accounts for people in your Organization. Organizations are available on the Growth and Pro plans.

  2. Shared Accounts: A user with their own subscription shares their account with you. They don't need to be in your Organization, and each person keeps their own billing and plan. See Sharing account access in Taplio.

Organization Membership vs. Shared Accounts

  • Organization Membership: Adds users under one billing account, enabling centralized management and payment for their licenses. This is suitable for teams or businesses that want to manage multiple accounts under a single subscription. Only the Organization Owner can change the plan or cancel the subscription.

  • Shared Accounts: Allows individual users to share their accounts with others. Each user must have their own Taplio subscription. This is ideal for collaborations where centralized billing is not required.

Key Differences

  • Organization admins can manage accounts within the organization but cannot access accounts shared with specific individuals unless explicitly shared.

  • Being part of an organization does not automatically grant access to accounts shared with individual users. To enable access, the account must be added through the organization setup or shared directly with the intended user.

Managing Shared Accounts

  • Accessing Shared Accounts: once an account is shared with you, click your name in the bottom left corner of Taplio and select the account.

  • Don't see the account? Refresh the page.

  • Removing Access: Only the owners or admins of shared accounts can remove your access. You cannot remove yourself from shared accounts.

Agency and Multi-Account Management

For agencies managing multiple clients, Taplio requires a separate account for each LinkedIn user. There are no agency-wide accounts, and billing is per seat. Volume discounts apply automatically to every seat in an Organization: 10% from 2 seats, 15% from 11 seats and 20% from 51 seats. When you add seats, the discount is applied from the next billing cycle. See Understanding Team Billing and Discounts for details, and Setting up Taplio for your clients or team members for the step-by-step setup.

  • Separate Browser Sessions: Use separate Chrome sessions for each LinkedIn account to avoid cross-session issues and ensure smooth operation.

  • Unique Email Addresses: Each LinkedIn profile requires its own Taplio account, so use different email addresses to create separate accounts for each profile.

  • Inviting Team Members: Invite clients or team members from Settings > Team & Permissions. Once invited, they can install the Taplio Connect browser extension and link their LinkedIn accounts to their Taplio accounts.

  • Optional Credential Setup: Agencies can optionally obtain client LinkedIn credentials to set up accounts on their behalf, ensuring proper connection by following Taplio's setup guide.

Troubleshooting Common Issues

  • If you encounter difficulties accessing a shared account, ensure the account owner has shared it with you.

  • For organization-related issues, verify that the account is added as part of the organization setup.
