Hourly Rates

Setting up Hourly pricing policy

Hourly rates define pricing based on the duration of the booking instead of distance, where customers are charged a fixed rate per hour for the time the vehicle is reserved. This is typically used for services like limo/vip, wait-and-return trips, or booking a cab for the whole day for city tours.

Prerequisites

Before configuring Hourly pricing, create a product line from Settings > Products


Hourly rates are available on the Essential, Pro, and Full plans.


Configuration setting

Access this feature by clicking '+ Add Pricing Rule' in the pricing rule overview.

Name - Assign a descriptive identifier (e.g., "Limo hourly rate")

Type - Select "Hourly Rates" for Hour based pricing

Shuttle Service (Per-Passenger Pricing) (optional) - Enable if pricing should be calculated per passenger instead of per trip.

Schedule

Defines when the pricing rule should be applied

  • Do not limit by time (anytime) - The rule is always active.

  • Limit this rule to a specific date and time range - Apply the rule only within a defined date and time period. Once selected, then mention
    Pick-up date within (Set start and end dates) Specific week days (Select active days and hours where each row = day, each column = hour)

Apps

Select where this pricing rule should be applied

  • Web Booker - Choose a web booker that you would like to have this hourly booking option available

  • Dispatch Panel - Choose this option, if you would like this method to be available for operators when creating a booking through the dispatch panel

Pricing

Enable or disable pricing per vehicle type (e.g., Estate, Minivan, Standard Sedan, Van). Only selected vehicle types will use the defined hourly pricing.

  • Minimum Price – The minimum amount charged for a booking, regardless of duration.

  • Waiting Price (per minute) – Additional charge applied for waiting time during the trip.

  • Start Price – A fixed base fee added at the beginning of the booking.

  • Hourly Price – The standard rate charged per hour for the booking duration.

  • After X hour - Thresholds define when pricing changes after a certain duration. They do not limit the booking but adjust rates dynamically (e.g., after 1 hour, after 2 hours).

Example

  • Hourly price: €10/hour

  • After 1 hour (threshold): €8/hour

Booking duration: 2 hours

  • 1st hour → €10

  • 2nd hour → €8

    Total fare = €18


Price Adjustments

The Price Adjustments section allows you to modify the final calculated fare by adding surcharges and applying rounding rules. These adjustments are applied after the base fare has been calculated using your pricing rule.

Per Passenger Surcharge

Enable Per passenger to automatically add an extra charge for each additional passenger beyond the first passenger.

Example:

  • Base fare: €20.00

  • Per extra passenger surcharge: €10.00

  • Booking for 3 passengers

Calculation:

  • Base fare for first passenger: €20.00

  • 2 additional passengers × €10.00 = €20.00

  • Final fare: €40.00

This option is useful when larger groups create additional operational costs or require larger vehicles. The surcharge is automatically added to the final fare during the booking process.

Per Stopover Surcharge

Enable Per stopover to automatically add a fixed surcharge for each additional stop included in the journey.

Example:

  • Base fare: €20.00

  • Per stopover surcharge: €5.00

  • Booking includes 2 stopovers

Calculation:

  • Base fare: €20.00

  • 2 stopovers × €5.00 = €10.00

  • Final fare: €30.00

This option is useful when passengers request additional stops during a journey, as each stop may increase travel time and operational costs. The stopover surcharge is automatically added to the final fare during the booking process.

Price Rounding

Enable Price Rounding to automatically round the final calculated fare before it is presented to the customer.

Available rounding options include:

  • Round to nearest 1

    • €12.40 → €12

    • €12.60 → €13

  • Round to nearest 5

    • €12 → €10

    • €13 → €15

  • Round to nearest 10

    • €14 → €10

    • €16 → €20

Price rounding is commonly used to display cleaner and easier-to-read fares while maintaining consistent pricing across bookings.

Note: All price adjustments are applied on top of the calculated fare generated by the pricing rule and affect the final amount shown to the customer during the booking process.

Click 'save' on the top right corner of the module to save the hourly rate pricing
