Web Booker Overview

configure settings, pricing, and features for your online booking system

This screen shows all Web Bookers connected to your business. For each Web Booker, you can:

  • Copy a unique code to add to your website

  • Share a direct link with customers

  • Open settings to customize the Web Booker


Basic Settings

Click 'Settings' to configure your Web Booker:

General Settings

  • Set the display name and url for your Web Booker

  • Website: Enter your website name and Google Analytics Tag ID (optional)

Features

Choose which features your customers can use when making bookings. Available options include return bookings, stopovers, coupon codes, customer sign-in, luggage selection, and passenger count. Simply check the features you want to enable for your Web Booker.


Address Settings

Control what address information customers must provide when booking. These settings determine whether destinations are required, if house numbers are mandatory, and how service area restrictions are applied.

Booking Times

Set rules for when customers can make bookings. You can restrict bookings to your availability schedule and set minimum advance booking times.

Time restrictions:

  • Only allow bookings during configured availability hours

  • Specify when passengers can book

  • Set minimum order time in minutes (how far in advance bookings must be made)

Payment Methods

Choose which payment options are available to customers. Options include cash, card payments, online providers, and account billing. Online payment options only appear when the corresponding integrations are properly connected in your settings.

Legal Documents

Provide the terms and privacy policy shown to customers during booking. You can either link to documents on your website or upload PDF files. Google and Apple recommend using website links for transparency and to ensure customers always see the latest version.

Website URLs

Set the web addresses used after customers complete or cancel bookings.

Return URL: Where customers go when they leave the Web Booker (e.g., when canceling or navigating back to your site)

Thank you page URL: Shown after successful bookings. Use this page to display confirmation messages, booking details, or tracking codes for analytics and advertising. Leave empty to use the default page.

Branding

Customize how your Web Booker looks to match your company's visual identity.

Logo: Upload your company logo (click to select or drag and drop an image file)

Colors: Choose your main brand color to apply throughout the Web Booker


Advanced Settings

Configure advanced features for your Web Booker, including communication preferences and automated dispatch behavior.

Communication

Control how booking confirmations are sent and what actions customers can take.

Email confirmations: Choose whether to delay confirmation emails for ASAP bookings until a driver is assigned. This prevents customers from receiving confirmations before you know a driver is available.

Cancellation options: Disable the cancellation link in booking confirmation emails if you want to prevent customers from canceling their own bookings through email.

Dispatch Settings

Define how new bookings are assigned to drivers and when the assignment happens.

Default dispatch method

Choose how bookings are handled when customers complete their reservation:

  • Manual: You assign each booking to a driver yourself

  • Automatic: The system assigns bookings to drivers automatically at your chosen time

Dispatch method threshold

Set how many minutes before pickup a booking switches to ASAP mode. For example, if set to 60 minutes, any booking made less than one hour before pickup is treated as an ASAP booking and uses ASAP dispatch rules.

Dispatch time to pickup

Choose how many minutes before pickup the system should automatically assign the booking to a driver. For example, if set to 60 minutes, the booking is dispatched one hour before the scheduled pickup time. Bookings made further in advance remain unassigned until this time.

Customer Instructions

Add custom instructions that appear to customers during the booking process. Click 'Open' to create or edit these instructions.


Pricing

Enable your pricing rules and special rates created in the Pricing menu.

Pricing Rules

Click 'Choose pricing rules' to activate rules. For each rule, select:

  • Fixed: Show exact prices for rides with destinations

  • On-meter: Show estimated prices or allow rides without destinations

Your options:

  • Both checked: Customers see fixed prices for A to B rides, or can book without a destination

  • Fixed only: Only fixed-price rides with destinations are available

  • On-meter only: All rides show estimated prices; no-destination rides allowed if enabled

  • Neither checked: This rule won't be used

Click 'Save and close' when finished.

Special Rates

Click 'Choose special rates' to activate any promotional or special pricing from your Pricing menu.


Commission Rules

Set what you charge drivers for jobs from this Web Booker. You can add up to two rules:

  • Fixed amount per job: Charge the same fee for every ride (e.g., €2)

  • Percentage of fare: Charge a percentage of the total ride cost (e.g., 10%)

Example: With €2 fixed + 10% percentage on a €50 ride:

  • Commission: €2 + €5 (10% of €50) = €7

  • Driver receives: €50 - €7 = €43

Most businesses use just one commission rule.
