Teach 'n Go supports several ways to collect payment. This article covers how payment methods are configured and what each option does.
If you don't see Settings or the Payments section, ask your admin to check your permissions.
Configuring your payment method list
Go to Settings → Payments → Payment method options. This list is empty by default — you add whichever methods your school accepts, such as cash, bank transfer, cheque, or any custom label. The options you add here are what staff see in the payment method dropdown when recording a payment manually.
Recording a manual payment
Open a student's profile and go to the Fees tab, or go to Payments → Overdue payments.
Select the fee(s) you want to mark as paid.
Click Add payment.
Choose a payment method from your configured list, enter the amount, and confirm.
This generates a receipt and marks the selected fees as paid.
Student credit balance
If a student is overpaid — for example, they paid more than the fee amount — the surplus is added to their credit balance. Credit is applied automatically when the next payment is recorded, or you can apply it manually when adding a payment.
Online payments via Stripe or PayPal
To accept card payments through the student or parent portal, connect Stripe or PayPal at Settings → Integrations → Stripe payments or PayPal payments. Once connected, students and parents can pay outstanding fees directly from their portal without involving a staff member.
Stripe also supports saved cards, letting students pay in one click for future fees. PayPal redirects users to PayPal's own payment page.
SEPA direct debit
SEPA direct debit allows you to collect Euro payments directly from a student's bank account. To set it up for a student:
Open the student's profile → Fees tab → Direct debit.
Enter the student's IBAN and BIC, and record that you've received a signed mandate from them. Teach 'n Go does not collect or store the mandate itself.
Once a student has an active direct debit mandate, their fees can be collected in bulk. Go to Payments → Overdue payments, filter to the fees you want to collect, and click Export SEPA. This generates an XML file (SEPA pain.008 format) and an Excel summary. Upload the XML to your bank to initiate the collection run.
SEPA export creates the collection file — it does not move money directly. Your bank processes the actual debit.
