Refunds in Teach 'n Go

How refunds work in Teach 'n Go, what they do and don't do, and the right way to reverse a payment.

Before you add a refund, it's important to understand what it does — because a refund record in Teach 'n Go is a bookkeeping note, not a money movement. Adding one does not send money to the student, reverse a Stripe or PayPal charge, or change any balances in the system.

If you don't see the Payments section or Refunds tab, ask your admin to check your permissions.

What a refund record does and doesn't do

Adding a refund in Teach 'n Go does not:

  • Reverse or flag the original receipt

  • Change the student's outstanding balance or credit

  • Appear on the Payments dashboard or in any export

  • Send money through Stripe, PayPal or any other payment processor

It does: create a dated record with a description and amount that you can send to the student and keep in your own books.

The right way to reverse a payment

If you need to undo what a payment did in Teach 'n Go — put fees back to unpaid, restore a ticket, reverse credit — cancel the receipt:

  1. Go to Payments → Payments received.

  2. Find and open the receipt.

  3. Click Cancel.

Cancelling a receipt marks it cancelled while keeping it in the ledger with its number intact, sets the underlying fees back to unpaid, reverses any student credit the receipt used, flips any linked invoice back to unpaid, and recalculates the student's totals.

Then, separately, issue the actual money refund through Stripe, PayPal, or your bank — Teach 'n Go does not do this for you.

Finally, if you want a record in Teach 'n Go for your own books, add a refund record as described below.

Adding a refund record

  1. Go to Payments → Refunds → Add refund, or open a student's profile and click New refund.

  2. Select the student (or tick multiple students to create one record each).

  3. Add an optional description.

  4. Enter the amount.

  5. Save.

There is no date field. The refund date is set to today automatically. You can edit it afterwards by opening the refund record.

Working with existing refunds

From the Refunds tab, click the eye icon to open a refund record. From there you can:

  • Edit the record (including changing the date)

  • Delete it — note that only the most recently created refund for the school can be deleted

  • Send it to the payer by email or SMS as a secure link that requires no login

  • Print it

The Refunds tab has no export. Refund records are outside the main financial picture and do not appear in any payment report or dashboard total.
