Create and manage student documents

Student document templates help you create consistent, professional documents for your students. You can design templates once and reuse them whenever you need to print, save, or send student information. This guide walks you through creating templates and generating documents for individual students.

Creating a student document template

1. Go to student document templates

  1. Go to Settings.

  2. Select Student doc templates from the left-hand menu.

2. Add a new template

  1. Click + Add a template.

  2. Enter a Template name.

  3. Edit the first paragraph in Section 1.

  4. Add content in the Footer section if needed.

    Use clear, reusable wording so the template works for all students.

3. Insert variables

Variables automatically pull information from each student’s profile (e.g., name, ID, address). This helps you personalise documents without manual editing.

  1. Click the Variable list button to view all available variables.

  2. Copy any variable into your template text.

    • Examples: {student_name}, {student_id}, {address}

  3. Save the template when finished.


Creating a document for a student

1. Generate the document

  1. Select the student you want to create a document for.

  2. Open the Documents tab in the student’s profile.

  3. You’ll see a list of all templates you’ve created.

  4. Click a template to automatically fill it with that student’s details.

2. Save, share, print or send the document

Once generated, you can:

  • Save it to the student profile

  • Share it through the student portal.

  • Print the document

  • Send it to the student by email or SMS

    This helps you share certificates, letters, confirmations, invoices, or other documents quickly.

Tips

  • Use variables whenever possible to avoid manual edits.

  • Review your templates occasionally to keep wording and formatting consistent.

  • Test a template on a sample student before using it widely.
