How to share Google Drive files in Teach ’n Go

You can share Google Drive files inside Teach ’n Go in different ways, depending on whether you want the file to be public, private, or restricted to specific users. Choose the method that best suits your school’s needs.


Option 1: Make the file public

You can link a Google Drive file directly inside Teach ’n Go.

  1. Open the relevant class or lesson.

  2. Click Add attachment.

  3. Select your file from Google Drive.

For other school members to access the file, you must change the file’s sharing settings in Google Drive to Public (or “Anyone with the link”).

  • The file will always display the latest version when updated in Google Drive.

  • If the file is not shared publicly, users will see a 403 permission error when trying to open it.


Option 2: Keep the file private (upload a copy)

If you do not want to change the Google Drive sharing settings:

  1. Download the file from Google Drive to your device.

  2. Go to Add attachment in Teach ’n Go.

  3. Upload the file directly from your computer.

In this case:

  • The file will be stored inside Teach ’n Go.

  • It will be a static version.

  • Any future changes made in Google Drive will not update the uploaded file.


Option 3: Restricted access via Google

If you want only specific people to access the file:

  1. Keep the file restricted in Google Drive.

  2. Share access only with selected email addresses.

  3. Add the file link to Teach ’n Go.

When users open the file:

  • They will be prompted to sign in to Google.

  • Only approved Google accounts will be able to view the file.


Troubleshooting

  • 403 permission error? Check that the file is shared correctly in Google Drive.

  • Users can’t access restricted file? Make sure their Google account email has been granted permission.

  • File not updating? If uploaded directly, it will not sync with Google Drive. Use the public link method for live updates.
